Engagement Mapping Interface

Use this tab to create a master chart of accounts common to all clients and independent of the client's charts of accounts. For an overview of mapping numbers, see Mapping Overview.

Column Description
Map No Enter a map number. Map numbers can be up to 40 digits and alphanumeric.
Map No (Flip)

Select the map number to be used if the account is flipped.

Note : If a map number flip account is removed, the flip behavior defaults back to Individual. If a map number does not appear in this list, check the Behavior column. Map numbers set to "Filtered" are not available in this column.

Name

Type a description for the map number. This description can be linked to cells in CaseView.

Click to enter an extended description for the map number. This description does not appear on the printed document. It is available for linking to alphanumeric cells in CaseView documents using the Linkage dialog.

Map numbers that have extended descriptions appear as while working in the Mapping interface.

Title Select to use the current line's description as a heading in the Assign Mapping Numbers dialog.
Type

Represents the statement type ( Balance sheet, Income Statement, Cash Flow, or Performance) the map number is applicable.

  • If a map number has the Type set to Income Statement, then adjusting journal entries made directly to that map number will be included in the Net Income on all automatic documents (i.e. Trial Balance) that are grouped by that particular mapping.
  • If the Type is changed to or from Income statement, then a full repost is done to update the adjusting entry Net Income.
Sign

Select Debit or Credit as the normal sign for the map number if applicable. Select Credit if the account is normally a credit balance. If the account has a debit balance, then the amount is displayed or printed with brackets. Select Debit if the account is normally a debit balance. When selected, if the account has a credit balance, the amount is displayed or printed with brackets.

Rate Type

Select the type of exchange rate to use, current or historical.

Behavior

Select the type of map behavior. The following are available behavior types:

  • Normal- Default setting allows map numbers to have accounts mapped to them.
  • Calculated- Select to perform a calculation for the map number. Adding several existing map numbers together allows the map numbers to be summarized in useful ways. For example, a calculated map number that added all the Accounts Receivable accounts and the Provision for Doubtful Debts account could be used in a report where a single net Accounts Receivable line was required. Accounts cannot be assigned to a calculated map number.See Creating calculated map numbers for more information.
  • Unassignable - Select to disable the ability to assign accounts to this map number. If the map number has sub map numbers, changing the status of the map number will not affect any sub maps. Each sub maps needs to have its behavior changed individually. Any accounts that are assigned to the map number become unassigned automatically when its behavior is changed to "Unassignable".
  • Filtered - Select to disable display of this map number in the Assign Mapping dialog. All children of this map number that are not set to filtered will be promoted up one level in the Assign Mapping dialog. Map numbers with this behavior set can also be filtered out from automatic documents. To exclude Map numbers marked to be filtered, in the automatic documents Property dialog enter the following filter in the dBase filter box: maptype<>"F".
L/S Select a leadsheet number to have the map number appear on the selected leadsheet.
L/S Flip Select the leadsheet to be used if the account is flipped.
Class Select the appropriate ratio class when applicable. Ratio classes are used in conducting Analytical reviews and when generating ratios. They are also useful in the preparation of the Summary of Uncorrected Misstatements document. For more information, please see Ratio Class List.
Group (2 through 10) Select a group number from the selected grouping in order to have the map number appear on the grouping schedule. Except for the leadsheets’ group, groups have been left blank for the user to fill in to customize their client files. When searching through the list of available groupings, click the Group heading to view the list in group number order or click the Name heading to view the list of group numbers by group number description.
Group (2 through 10) Flip Select the group to be used if the account is flipped.
Tax Export Code

Select the appropriate tax code for the map number if applicable. The tax codes set up in the default mapping database are for exporting information to tax software. The available tax codes vary depending on the tax jurisdiction and entity specified in the Engagement Properties.

Tx Exp Cd Corp

Tx Exp Cd SCorp

Tx Exp Cd Partnership

Tx Exp Cd Non-Profit

Working Papers can be customized to use tax codes predefined for each type of tax entity that you can set in the Engagement Properties:

  • Corporation
  • S Corporation
  • Partnership
  • Non-Profit

Populate the applicable columns with the tax codes. From then on, data will be exported according to the entity type selected in the Engagement Properties and the tax codes entered here.

Note: These columns are automatically added to the Mapping tab if the Tax Jurisdiction in the Engagement Properties is set to USA. If the columns are not showing, click View | Reorder Columns. The fields Tx Exp Cd Corp, Tx Exp Cd SCorp, Tx Exp Cd Partnership, and Tx Exp Cd Non-Profit are available. Move the applicable field(s) to the Active Column window and close the dialog.

M3 Code Select the appropriate M3 code for the map number. The M3 codes set up in the default mapping database are for exporting information to tax software for US tax entities (excluding Non-Profit).
GIFI

Type or select the applicable GIFI number for the account if a GIFI number has not been automatically entered. Click the look-up button (or press F8) to display the Select GIFI Number dialog. Once the GIFI number is located, click the Select button to input the number in the Account setup.

Recommendation

  • Although mapping is not necessary to use the GIFI, using the mapping number database will cut a lot of work. For example, if this account is assigned to a map number and the mapping numbers have been assigned to codes in the GIFI numbers database, then the GIFI codes can be automatically assigned to all accounts in the chart of accounts with one button click.

Units Type or select the unit of measure if applicable. To create or modify units of measure codes, select Tools | Options | Lists and then click the Units tab.
Calculation Click to enter a code that assigns multiple accounts or a range of accounts to this map number.
Units 2 Type or select a second unit of measure for the mapping number if applicable.
Rate Enter a foreign exchange rate for the map number if applicable.
Flip Type

Select the method to display the flip map number. See Setting flips in the mapping/group database for details on each flip type.

  • Flip numbers should be used only on a one to one basis and must be assigned to the same accounts on both side of the flip. For example, when Map No 111 has been assigned Flip number 211; Map No 211 should then be assigned the Flip number 111. Assigning a flip number to an account but not assigning the corresponding map number as the flip for the account being flipped to may cause unpredictable results.
  • When modifying a map number that already has accounts assigned, you must perform an autofill on the map number in order to update the assigned accounts for the property changes. To see how to autofill map numbers, see Specifying the method of completion for account mapping.
  • If a user was assigned the Mapping option in the Account rights and Allow viewing of map number properties option in the Mappings rights, the user will be able to view the properties of the mapping account. However, if the user was not assigned any other Mappings options (i.e. Allow addition/deletion/change of map numbers), the user will not be able to modify map number properties.

Tips

  • Once the Mapping database is complete, the map numbers can be copied to client files by navigating to File | Copy Components
  • Working Papers allows users to add new map numbers in sequence efficiently just by using the down arrow at the bottom of the mapping list. A new line is created with a map number that is the previous map number incremented by one.
  • Whenever a map number's properties (e.g. Sign, Map No (Flip), Flip Type) change, the corresponding adjustment records will be updated in the automatic documents. However, the Map No and Map No (Flip) must be set in a pair. For example, if you set account A to flip to B, then you must set account B to flip to A as well.
Column Description

Title Select to use the current line as a heading on the report.
Type For each line of the report, select the type of financial statement (Balance sheet, Income statement, Cash Flow or Performance) that it will appear on.
Ctrl(Control Account)

Control numbers or non-posting account numbers are used in the preparation of the Working Papers draft financial statements for three purposes:

  • to "roll up" account balances from a schedule to a main balance sheet;
  • to transfer account balances from one section of a statement to another; and
  • to simplify the appearance of divisional accounts on balance sheet and income statements.

These non-posting accounts can be a maximum of two digits (1-99).

When searching through the drop-down list of available control accounts, click the Control Account heading to view the list in control account number order or click the Name heading to view the list of schedules by description. View Adding Control Accounts for more information.

To exclude Map numbers marked to be filtered, in the automatic documents Property dialog enter the following filter in the dBase filter box: maptype<>"F".
Accumulator

Select an accumulator level if the line in the report is a total or subtotal preceding line. Each line with an accumulator selected adds up all preceding lines with smaller or N/A accumulators.

Using an accumulator of one adds all preceding accounts until a preceding accumulator is found. Using an accumulator of 2 adds any preceding accounts with accumulators less than two.

Select "Clear" or "C" where you want to clear all prior accumulators. This will stop all accumulators above that line in the report. You can start accumulating again by selecting new accumulator codes on subsequent lines.

Map No (Flip) Select the map number to be used if the account is flipped.
Flip Type

Select the method to display the flip accounts. See Setting flips in the mapping/group database for details.

Note: If modifying a map number that already has accounts assigned, you must perform an autofill on the map number in order to update the assigned accounts for the property changes. To see how to autofill map numbers, see Specifying the method of completion for account mapping.

L/S Select a leadsheet number where this map account and amount will be displayed.
L/S flip Select the L/S number to be used if the account is flipped.
Class Select the appropriate ratio class when applicable. Ratio classes are used in conducting Analytical reviews and when generating ratios. They are also useful in the preparation of the Summary of Uncorrected Misstatements document. For more information, please see Ratio Class List.
Col (Column Position) Use this column to indicate how far the map account balance is to be indented when displayed on the statement. Up to three columns can be used. This column number is only applicable for Balance Sheet map accounts. If no position is specified, (N/A), the default is position 3 (column 3).

$ (Currency Sign)

Select to print a currency sign before the number.
Underline Underlines the selected balance. Enter an S to print a single underline and a D to print a double underline.
Page Select to print subsequent lines on a new line. This is useful if preparing schedules for a statement. Do not use this when changing the type of statement (For example, from B to I) as Working Papers automatically sends a new page form feed to the printer. If you choose this option as well, a blank page will result when printing your draft financial statements.
Print

Select to restrict the conditions under which the line will print or display. Available conditions include the following:

  • Credit - print or view if credit balance (C)- The line only prints if the year-to-date balance is a credit.
  • Debit - print or view if debit balance (D)- The line only prints if the year-to-date balance is a debit.
  • Header - print description as header (H)- A new page will start on the same line then the description will appear left aligned under the company name and will be repeated at the top of every page in the financial statement document.
  • Justify - print description as centered in column (J)- Justifying a line on the Balance Sheet centers it horizontally on the page. Justifying a line on the Income Statement centers it in the Name column.
  • Skip - skip lines when printing or viewing (S)- The line will be unconditionally skipped when printing or viewing the draft financial statements.
Percent (%) Specifies more than one map account number as the denominator for calculating percentages. If you enter a map account number in the Percent column, this alternate number will be used as denominator for all subsequent percentage calculations until another map account number is specified. Calculated map numbers can be used in this column.
CS (Credit Statement of Cash Flow) Used for the preparation of the draft Statement of Cash Flow. The CS column is determined by the contents of the Type column.

For Type B (Balance Sheet) and Type I (Income Statement) map accounts, the CS column represents a statement of cash flow map account number (a map account number with the format S##). With this statement of cash flow number intact, all credit amounts for the balance sheet or income statement map account will automatically update the statement of cash flow map account.

For Type S (Statement of Cash Flow) map accounts, the CS column offers the following options:

  • Active period (closing) balance (A)- Enter an A to calculate the balance using the active period (closing) balance of the Balance Sheet or Income Statement map account.
  • Active period (closing) balance - negative (AN)- Calculates the balance by reversing the active period (closing) balance of the Balance Sheet or Income Statement map account.
  • Difference between active and prior period (D)- Calculates the balance using the difference between the active and prior period balances of the Balance Sheet or Income Statement map account.
  • Difference between active and prior period - negative (DN)- Calculates the balance by reversing the sign of the difference between the active and prior period balances of the Balance Sheet or Income Statement map account.
  • Prior period (opening) balance (P)- Calculates the balance using the prior period (opening) balance.
  • Prior period (opening) balance - negative (PN)- Calculates the balance by reversing the sign of the prior period (opening) balance.
DS (Debit statement of cash flow)

Used in the preparation of the draft Statement of Cash Flow. The DS column is determined by the contents of the Type column.

For Type B (Balance Sheet) and Type I (Income Statement) map accounts, the DS column represents a statement of cash flow map account number (a map account number with the format S##). With this statement of cash flow number intact, all debit amounts for the balance sheet or income statement map account will automatically update the statement of cash flow map account.

For Type S (Statement of Cash Flow) map accounts, the DS column offers the following options:

Automatically updated from accounts (A)- If selected, Working Papers automatically calculates the balance of the Statement of Cash Flow map account using Balance Sheet or Income Statement map accounts linked to the Statement of Cash Flow map account.

N/A- If the DS column is blank, then the opening balance for the Statement of Cash Flow map account will have to be entered in the Cash Flow setup (see Working Trial Balance Interface Tabs for more information). Adjustments to these balances can be made as adjusting journal entries with a Type of Statement of Cash Flow.
