Creating Calculated Map Numbers
Procedures
- On the Account tab, in the Assign group, click Assign Mappings.
- In the right pane, right-click and select New Mapping Number.
- Type in the number you want the calculated Map number to use.
- From the Behavior drop-down list, select Calculated.
- In the Calculation field, enter the map numbers (separated by commas) or the range of numbers (separated by "..") to be included in the calculation. For example, to make a calculation of all fixed assets accounts between 151 and 165, enter "151..165".
- Fill in the rest of the map number's properties as required.
- Click OK and then click OK again to close the Assign Mapping dialog.
Results
New calculated map number is created and ready to be assigned.
Notes
- Calculated map numbers can be used in CaseView reports and the following automatic document formats: Financial statements - Balance sheet, Financial statements - Income statement, Trial Balance, Leadsheet, and Analytical Review documents that have group totals. However, calculated map numbers do not get included in the totals of the map hierarchy. For example, map number 1 would include map number 1.120 (normal map number) but not map number 1.111 (calculated map number).
- To display calculated map numbers in the automatic documents mentioned above, go to Tools | Options | Documents and select the Calculated map/group numbers option.
- Generally, calculated map numbers are not included in calculated map number wildcard matches. However, if the base part of a wildcard matches a calculated map number, it will be included. For example, entering 115*, 116* includes all accounts that start with 115 and 116 - even if each of those numbers have sub accounts.
- Accounts cannot be assigned to a calculated map number. However, if you have balances showing in the Assign Mapping dialog, the calculated balance displays. These balances also display in any CaseView documents that includes this map number.
