Managing the Views in Tracker
To manage your views, you can perform the following tasks:
- Create a new view
- Modifying a view
- Copy a view
- Rename a view
- Publish a view
- Save a view
- Revert the view to last saved
- Delete a view
- Display the properties of a view
Anytime you create, copy, customize, or delete a shared view, other people connected to the Data Store see the changes only after they close and reopen Tracker.
Creating a new view
Views are different ways of looking at your file information. You can arrange a view so information relevant to you is easily accessible. You can create as many views as you wish; just click a view to quickly switch to a different display of the file information.
When you create a new view, you can select filters by which to extract only the data you want to see. For example, you can filter the files to see only the compressed files.
To create a new view:
- Right-click in the Views pane and select New. The New View dialog box opens.
- Complete the fields in the dialog.
- In Type, select whether the view is Shared or Personal. If you do not have administrative rights to shared views only the Personal option is available.
- To show only specific files in the view, click Filter. The Edit Filter dialog box opens. You can focus the information in the view by selecting filter options in the following tabs: General, Lockdown, and SmartSync. To enter specific filter strings, use the Advanced tab. Click OK. The Edit Filter dialog closes.
- Click OK. The New View dialog box closes and the new view is displayed in the Views pane. Click the view name to display the view.
Once the view is created, do the following:
- Customize the view.>>How Do I?
- Save the view if it is a personal view or publish the view if it is a shared view.
Notes
- If you do not have administrative rights to create shared views, you can only create a personal view.
- If you have administrative rights and you are linked to a Data Store on the network, you can create a view that is shared.
- Anytime you create, copy, modify, or delete a shared view, others connected to the Data Store see the changes only after they close and reopen Tracker.
Modifying a view
- In the Views pane, right-click the view you want to modify and select Properties. The View Properties dialog box opens.
- In Name, you can change the name of the view if you want.
- To change the information shown in the view, click Filter. The Edit Filter dialog box opens. You can focus the information in the view by selecting filter options in the following tabs: General and Lockdown. To enter specific filter strings, use the Advanced tab. Click OK. The Edit Filter dialog closes.
- Click OK.
If you've created a view and you wish to change the information displayed, you can modify the view.
Notes
- If you do not have administrative rights to modify shared views, you can only modify a personal view.
- If you have administrative rights and you are linked to a Data Store, you can modify a shared view.
- Anytime you create, copy, modify, or delete a shared view, others connected to the Data Store see the changes only after they close Tracker and open Tracker again.
Copying a View
A view may already exist that has most of the components you want to see in your view; however, you may want slight modifications. You can copy a view and then make adjustments to customize the view.>>How Do I?
You can copy any view: personal or shared, but note the following:

Note: If you have administrative rights, you can publish a personal view by copying a personal view to a shared view.
To copy a view:
- In the Views pane, right-click the view that you want to copy and select Copy. The Copy View dialog box opens.
- In Name, type a name for the view.
- In Type, select whether the view is Shared or Personal. If you do not have administrative rights, only the Personal option is available. If you have administrative rights, you can publish a personal view to make it a shared view.
- To show only specific files in the view, click Filter. The Edit Filter dialog box opens. You can focus the information in the view by selecting filter options in the following tabs: General and Lockdown. To enter specific filter strings, use the Advanced tab. Click OK. The Edit Filter dialog closes.
- Click OK. The Copy View dialog box closes and the view is displayed in the Views pane. Click the view name to display the view.
Once the view is created, do the following:

- Save the view if it is a personal view or publish the view if it is a shared view.

Renaming a view
- In the Views pane, right-click the view that you want to rename and select Rename.
- Type the new name, and then press ENTER. The view is displayed with a red dot on the icon indicating that the view has changed. To maintain the changed name, save or publish the view. If you do not save the view, the name reverts to the previous name the next time you open Tracker.
When you need to change the name of a view, you can rename it.
Notes
- If you have administrative rights to shared views, you can rename either a shared or a personal view.
- If you do not have administrative rights to shared views, you can rename only a personal view.
Publishing a view
- In the Views pane, right-click the shared view that you want to publish and select Publish. The Publish option is only available for shared views.
If you have created a shared view, publish the view so all those connected to the Data Store can have access to the view.
Whenever a view has changed, publish the view so that others connected to the Data Store have the updated view. You can see that a view has changed by the red dot that appears over the View icon.
Note: Only those with administrative rights to do so can create shared views and publish them.

Saving a view
- In the Views pane, right-click the personal view that you want to save and select Save. The Save option is only available for personal views.
When you have created a personal view, you must save the view so it is available the next time you open Tracker. Save the view every time you make a change that you want to keep.
You can see that a view has changed by the red dot that appears over the View icon.

Only personal views can be saved. Shared views are published.

Reverting the view to last saved
If you've changed a view and do not want to save those changes, you can revert the view to the way it was the last time you saved the view. If the view is newly created and you made changes to the view without saving, using the Revert option discards those changes.
To revert the view to last saved:
- In the Views pane, right-click the view that you want to revert to last saved and select Revert. The changes are discarded and the red dot indicating the view was changed is removed from the View icon.
Deleting a view
- In the Views pane, right-click the view that you want to delete and select Delete. If you do not have administrative rights to shared views and you right-click a shared view, the Delete option is not available. A message opens asking if you are sure you want to permanently delete the view.
- If you are sure you want to delete the view, click Yes.
Notes
- If you have administrative rights to shared views, you can delete both personal and shared views. A shared view that is deleted is removed from the view of everyone attached to the Data Store only after Tracker has been closed and opened again.
- If you do not have administrative rights to shared views, you can delete only your personal views.

Display the properties of a view
After a view is created, you can display the properties to see the type of view it is: personal or shared. You can also change the filter selections to modify the view.
- In the Views pane, right-click the view whose properties you want to see and select Properties. The View Properties dialog box opens. The type of view is selected, but cannot be changed.
- If you want, you can change the filter selections to modify the view by clicking Filter. The Edit Filter dialog box opens. You can filter the information by selecting the options in the following tabs: General and Lockdown.
- Click OK.
If you changed any of the filter selections, save the view or publish the view to maintain the changes.
