Automatic Document Properties

Type the document number. Each document on the Document Manager must have a unique number. Document numbers can be up to 40 characters in length and alphanumeric.

Notes:

• When assigning a number to a document, the Working Papers address bar cannot parse jump codes containing URL restricted characters (such as *?/\ or :) when these are typed directly into it. When a document that contains these characters is saved as HTML, Working Papers replaces these characters with a ! mark. Documents containing * cannot be converted to HTML.

• When printing any document that uses more than one page, Working Papers automatically adds a sub number separated by a dash (e.g., A.1-1).

Type a name for the Automatic document.

Select an applicable document type from the list . For more information, see Automatic Documents

Select a format for the document. The format defines the appearance and the specific data to display in the document.

Select to lock down the document if a lock down is performed.

By default, the Lock Down check box is selected for all new documents created before lockdown. When a file is locked down, all documents with the Lock Down check box selected are locked down. If a document is created after lockdown or was exempt before locking down the file, the Lock Down check box is cleared and not available indicating that the document is not locked down and cannot be locked down.

When a clean up is run on the client file, milestones and history events are retained for documents that did not have the Lock Down check box selected.

Note: Documents cannot be deleted when the Lock Down check box is selected, even if the client file is unlocked.

Select to retain this document whenever a clean up is run in the client file.

Select to include the current document in the Document Index.

Select to print the automatic document landscape.

Select specific settings to filter and customize the automatic document. Settings differ for each automatic document type/format. For more information, see Automatic Document Formats and Settings.

Select a role set to apply to the document.

Notes

• Only one role set can be applied to each document.
• Apply a role set to multiple documents in the Document Manager. For more information, see Setting Role Set On Multiple Documents.
• CaseView documents set to read the role information update accordingly.
• Applying the No Sign Offs Required role set clears all sign off controls and document roles. Documents with this role set display a value of None in the Role Set column on Document Manager.
• When filtering the Document Manager for role completeness, documents with a role set of No Sign Offs Required are considered Fully Completed.

The initials of the user that completed the role. With protection enabled, selecting the check box to the left of the initial box automatically completes the initial and date boxes.

The number of roles displayed is dependent on the roles set in Options | Roles.

The document completion date for each role. Entering initials automatically enters the system date.

Set the position of the user initials and date on the document:

• Use Default - Places the initials and date in the default location as set in the Options | Roles tab.
• Top - Places the initials and date in the top right corner of the document.
• Bottom - Places the initials and date in the bottom right corner of the document.

Notes

• The selected location affects the position of the document number.
• This option is only available for automatic documents.
