Electronic Licensing User Guide



Introduction

Thank you for choosing CaseWare® Working Papers. There are two versions of the software that you may receive:

  • Trial Version: A standalone authorization code is available from your trial version email. You must manually enter this code in the software to activate Working Papers for the duration of your trial.
  • MyCaseWare Version: An authorization code is embedded in the software installation file. You can select Standalone or Network licensing from the software to activate Working Papers for the duration of your purchased license.

Authorization Code

Working Papers licenses are activated using an authorization code. The authorization code is a 20-character alphanumeric string that is based on your firm’s current subscription. When Working Papers is registered, it uses the authorization code to authenticate the license.

Downloading with MyCaseWare

When you purchase your first Working Papers license, you will receive an invite to the MyCaseWare portal. With MyCaseWare, you can download full-version installers for Working Papers, product update patches, and additional utilities. These downloads are firm-specific and contain your unique authorization code.

To download Working Papers from MyCaseWare:

  1. Log into MyCaseWare.
  2. From the Dashboard, select Software Downloads.

  3. Locate the Working Papers product and select Download to begin.

CaseWare Working Papers is downloaded to your computer.

Licensing and Registration

CaseWare International has introduced functionality in Working Papers to give you improved control over your licenses. When preparing a new installation of the software, consult the following sections regarding Standalone Licensing and Network Licensing to determine the best registration method for your environment.

Your copy of Working Papers can become unregistered if you make any of the following environment changes:

  • Changes in domain membership
  • Changes in computer or ‘host’ name
  • Re-imaging or re-publishing of master images
  • Computer formatting or hard-drive changes
  • Changes in operating system

If you intend to make any of these changes to your environment and are concerned about the status of your license registration, please contact CaseWare Technical Support.

  • If you are running Working Papers behind a firewall or proxy, ensure that the following two license servers are permitted access:
    • http://elicense.caseware.com
    • http://elicense2.caseware.com
  • Prior to installation, ensure the date and time are correctly synchronized on your computer. See Synchronizing Date and Time for Electronic Registration for more details.
  • A unique license is associated with your version of Working Papers. You cannot use this license to activate a different version.
  • Single use authorization codes have been replaced with standalone site licenses. For more information, see Site Licenses.

The About Licensing Dialog

When you launch Working Papers for the first time, the About Licensing dialog is displayed. Use this dialog to view the current status of your Working Papers license. If this dialog is not displayed by your version, it may have registered automatically. Refer to Standalone Licensing for further details.

Note: The About Licensing dialog can also be accessed in Working Papers from File | Licensing or Tools | Licensing | License Information.

  • Expiry Date: The time remaining for the active license.
  • License and Repair Lock: The unique identifier for your active computer.
Option Description
Stand alone or eDelivery license The license is registered to the computer or terminal server user profile that it is in use.
CaseWare Network License server The license is retrieved temporarily from a designated License Server.

Commuter Licenses: When using the Network License method, it is necessary to Check Out a license if your computer is disconnecting from the License Server. To maintain access to your Working Papers license, you will need to complete a Commuter License Check Out prior to disconnection, or a Remote Commuter License Check Out if you have already disconnected.

Site Licenses

A site license is a unique authorization code that can be activated multiple times, based on your organization’s user license count. Site licenses have replaced single-use authorization codes.

Note: If you want to add user licenses, contact your local distributor to place an order. Once purchased, the licenses can be added to the existing site license authorization code for immediate activation.

Synchronizing Date and Time for Electronic Registration

CaseWare Working Papers is activated using a time-based license. For the license to activate properly, the correct date and time must be set on the computer by synchronizing to a Network or Internet Time Server.

  • Network Time Server: If the computer is connected to a network domain, the date and time is synchronized automatically to this server.
  • Internet Time Server: If the computer is not connected to a network domain, it must be synchronized to a designated time server using the Internet.

Manually Synchronizing to an Internet Time Server

The default Internet time server is time.windows.com. If time synchronization is not enabled or you want to synchronize your computer to another time server, complete the following steps:

  1. On the Windows taskbar, right-click the clock and select Adjust date/time.

  2. In the Date/Time Settings that displays, select Additional date, time, & regional settings from the Related settings menu, then select Set the time and date on the screen that follows.

  3. Select the Internet Time tab, then Change settings…

  4. In the Internet Time Settings dialog, select Synchronize with an Internet time server.

  5. Select an applicable time server from the drop down menu and select Update now to proceed with synchronization.

The date and time will be synchronized to the Internet time server. The Working Papers license can now be registered and activated.

Standalone Licensing

When Working Papers is installed and registered to a local computer, it uses Standalone Licensing. This is the most common method of licensing Working Papers.

Optimal environments for Standalone Licensing include:

  • Local desktop or laptop computers
  • Computers that are imaged from Golden/Master Images and not frequently reset
  • Citrix or RDS terminal server environments containing only a single server*
  • Portable computers that are frequently taken off-site

*For environments containing multiple servers, see Network Licensing.

Standalone licenses consume a license once activated, but can be deactivated if necessary, such as when reimaging or retiring a computer. To Revoke Licenses from within Working Papers, select File | Revoke License on the computer you need to deactivate. Once revoked, the license returns to the license pool, where it can be activated on the next registered computer.

Note:

  • For Citrix or terminal server environments, we suggest installing from Command Prompt with the SKIPREGISTER=1 property. This prevents the server from consuming a license intended for one of your users. For more information on installing from Command Prompt, click here.

To register a standalone license for your copy of Working Papers, select Register Now on the About Licensing dialog.

Registering Working Papers Using Standalone License

If you have not purchased a license for Working Papers, use the provided information to contact CaseWare Sales. If you have purchased a license, click Next to continue. Otherwise, click Cancel to continue using Working Papers in read-only mode.

  • Your authorization code is embedded in the installation file for Working Papers. If you have already purchased a license, you do not need to contact CaseWare to retrieve the authorization code unless it does not appear automatically in the next step.
  • Before registering Working Papers electronically, ensure that the time and date on the computer is synchronized to the network time server or an Internet time server.

  1. Enter the authorization code, user name, and email address of the person who uses the computer. Your authorization code should appear by default.
  2. During registration, the computer name is transmitted to CaseWare and linked to your locking code. CaseWare Technical Support uses this information to diagnose licensing issues if encountered. If you do not want this information transmitted, select the Check here if you do not wish your Computer Name to be sent checkbox.
  3. Select Next.

  1. Copy down or print the URL provided, then select Print this information. A text document will display containing information you will need when accessing the Internet registration. Print the text document and take it to another computer that has access to the Internet.
  2. Use a browser to navigate to the URL that you copied earlier.
  3. Enter the authorization code and follow the instructions on the webpage.
  4. Once complete, you will receive a License Code. Return to the original computer where Working Papers requires registration.
  5. Re-open the Registration Wizard and select Enter the license code you have already received as your method of registration.
  6. Enter the License Code as instructed.

  2. If you are using Outlook, select Email. The registration form is filled into a new message automatically. If you are using another email service, check the Use Web Mail box so that you can copy the form into a new email message.
  3. Select Send in the wizard, or submit the email you completed using the web mail option.
  4. CaseWare Sales will contact you with the License Code for your copy of Working Papers. Re-enter the Registration Wizard and select Enter the license code you have already received as your method of registration.
  5. Enter the License Code as instructed.

  2. Be prepared to provide the authorization and locking codes shown on the screen.
  3. You will be issued the License Code for your copy of Working Papers. Re-open the Registration Wizard and select Enter the license code you have already received as your method of registration.
  4. Enter the License Code as instructed.

Network Licensing

When Working Papers is accessed from multiple terminal servers, you may be eligible to receive a Network License. Network Licenses are typically used in large organizations where the software is managed through a centralized server. A Network License Server is installed on this centralized server and acts as a license repository for Working Papers.

Optimal environments for Network Licensing include:

  • Multiple* Citrix or RDS terminal servers in a load balancing configuration
  • Computers where new images are created on demand with randomized hostnames or are frequently reset

*For environments containing only a single server, see Standalone Licensing.

Network License Server

If your organization is approved to receive a Network License, you will be sent the installation file for the Network License Server tool. This tool must be installed on a centralized server so that all licensed staff can retrieve licenses for Working Papers.

Once installed, licensed staff must locate the Network License Server from within Working Papers:

  1. In the Registration Wizard, choose Network Licensing and select the Server Name drop-down menu.
  2. The Network License Server will display automatically if it is available. If the search does not find the Network License Server, you may enter the hostname of the server manually into the Server Name field.
  3. Select the Show Detail drop-down to view License Server information.
  4. Click OK to connect to the Network License Server, or select Commuter License Check Out to obtain a Commuter License.

Note: When closing a session of Working Papers authorized through the Network License Server, the license in use is reserved for 10 minutes before it is released to the license pool. This allows you to reconnect to Working Papers before the license is made available for another computer to check out.

Repository Licenses

Repository Licenses are a variation of the standard Network License setup. In this arrangement, a semi-permanent Commuter License is issued when a computer requests a license from the Network License Server. This license is automatically activated for the maximum duration of the license, and permits use of Working Papers when disconnected from the Network License Server.

Note: Repository Licenses can be returned to the server when no longer required, but cannot be checked out for a custom duration.

Checking Out a Commuter License

If a license for Working Papers is required on a computer that will be disconnected from the Network License Server, you may check out a Commuter License for a designated period of time.

  1. Select the Commuter License Check Out button on the About Licensing dialog to open the Commuter License Check Out Wizard.

  2. In the (1-214 days) field, enter the number of days the commuter license is required.

  3. Choose Automatic Check Out and click Next to complete the wizard.

The Network License Server is contacted and a commuter license is issued to your computer. A confirmation screen will display to inform you that the authorization is successful.

Checking Out a Remote Commuter License

If you have taken a computer off-site without checking out a commuter license, you may request a Remote Commuter License from your License Administrator to authorize your copy of Working Papers.

  1. Click the Commuter License Check Out button on the About Licensing dialog to open the Commuter License Check Out Wizard.

  2. In the (1-214 days) field, enter the number of days the commuter license is required.
  3. Note: Do not request excessive days as Remote Commuter Licenses can only return to the Network License Server by expiring.

  4. Select Remote Check Out and click Next.
  5. In the Remote Authorization Code screen, choose Get Authorization Code and click Next.

  6. In the Get Locking Code screen, enter the email address of your License Administrator and click Next. An automated email will be sent to your administrator, who can generate a Remote Authorization Code and return it to you by email.

  7. When you receive the Remote Authorization Code, return to the Commuter License Check Out Wizard and select Remote Check Out.
  8. In the Remote Authorization Code dialog, select Install Authorization Code.

  9. Paste the Remote Authorization Code into the first field. Alternatively, you can browse for the authorization code in the second field if your License Administrator has sent it to you as an attachment.

  10. Click Next to complete the wizard.

The Remote Authorization Code is applied to your copy of Working Papers. A confirmation screen will display to inform you that the authorization is successful.

Note: Remote Commuter Licenses cannot be returned to the Network License Server manually. The license will remain commuted until the requested commute duration elapses.

Grace License

If you cannot register your copy of Working Papers or an existing license is expired, you can continue to access the program using a grace license. A grace license is a temporary Working Papers license that allows you to continue accessing Working Papers while you are troubleshooting licensing issues.

You may receive a grace license:

  • If there are no remaining licenses to register Working Papers with (5-day grace license)
  • At the beginning of your organization's license renewal month, resolved only by renewing your license
  • If your Network License Server becomes unavailable due to network connectivity problems or a server outage (3-day grace license), resolved after you reestablish a connection to the Network License Server

You can view the current status of a grace license from the About Licensing dialog.

Renewing Your License

When your license is due for renewal, a reminder prompt is displayed upon launching Working Papers. The existing license will temporarily remain active in the form of a Grace License until a Renewal License is issued.

  • Select Continue to continue using Working Papers with the Grace License.
  • Select Register License to launch the Registration Wizard and activate a Renewal License that has been issued.

Note: To change the frequency with which the registration prompt displays, select the Remind Always drop-down menu and set the desired frequency.

Checking for a Renewed License

You can manually check to see if a renewed license is available from within your copy of Working Papers.

  • You must have a file open in Working Papers to access the Tools menu.
  1. In the Tools category, select the Licensing drop-down menu and choose Check License.

  2. If a license renewal is not available, then an information balloon will be displayed to inform you. If a license renewal is available, then the Registration Wizard is displayed with your new Authorization Code automatically populated.

  3. Follow the instructions in the Registration Wizard to renew your license automatically over the Internet.

Your Working Papers license is renewed.

Note: If your license expires and is not renewed, the software will switch into Read-Only mode. This allows you to continue viewing your files, but prevents any changes from being made.

Time Tampering

CaseWare Working Papers is activated using a time-based license. The usage period of the license is verified using the date and time setting on your system. If you change this setting, Working Papers may become locked. To restore the software to a functional state, you must complete the Time Tampering Cleaning Wizard.

Time Tampering Cleaning Wizard

The Time Tampering Cleaning Wizard is displayed when you launch Working Papers after a date or time modification has occurred.

  1. Select Date & Time to set the current date and time.
  2. Select My date and time are set correctly once you have set the correct date and time and then click Next.

Cleaning Wizard Options

Choose the appropriate selection when prompted.

Option Description
Obtain Cleaning License Contacts CaseWare Licensing Support to request a cleaning license to repair Time Tampering.
Use Cleaning License Activates a cleaning license that has already been received from CaseWare Licensing Support.

Obtaining a Cleaning License

If you selected the Obtain Cleaning License option in the Cleaning Wizard Options screen, you will receive a prompt to email CaseWare Licensing Support. After filling in the required information, a request for a time cleaning license is submitted to Support.

Note: Time cleaning licenses are unique to the computer they are requested from. If multiple computers are encountering the Time Tampering issue, a request must be made for each computer.

  1. Fill out the required information.
    • Client Name: Enter a client name.
    • Support Email: Leave the default option sales@caseware.com unless requested specifically by a Licensing Support representative.
    • Client Number: Enter your CaseWare client number if available. This field is optional.
    • Use Web Mail*: Select this checkbox if you are not using Microsoft Outlook and would like to request the cleaning license from another email service. If you do not select this option, the request email will be automatically sent from your Outlook account.

      *If you have selected this option, see the Use Web Mail section below.

  2. Click Next.
  3. The information required by CaseWare Licensing Support will be automatically populated in the email. Click Send.

Use Web Mail: If you choose the Use Web Mail option, the following page will automatically display the required content to be sent to CaseWare Licensing Support.

  1. Copy the text displayed and paste it into the body of your email.
  2. In the To: field of your email, enter sales@caseware.com.
  3. Click Next | Finish to close the Cleaning Wizard.

A message will appear stating that you have successfully requested a cleaning license. The cleaning license will be issued to the email address used in your request.

Once you have received your cleaning license, select the Use Cleaning License option in the previous Cleaning Wizard Options page.

Using a Cleaning License

When a cleaning license email is issued, activate the attached file using the Time Tampering Cleaning Wizard.

  1. Download the lsclean.txt file from the email to your desktop or another safe location.
  2. Launch Working Papers and navigate through the Time Tampering Cleaning Wizard until you reach the Cleaning Wizard Options screen.
  3. Select the Use Cleaning License option and click Next.
  4. Select Browse and navigate to the location the lsclean.txt file was saved to. Choose the file and click Open.
  5. Click Next to activate the cleaning license.

Working Papers activates the cleaning license and a success or failure message is displayed.

If the Time Tampering Cleaning Wizard does not accept the cleaning license, please try one or more of the following:

  • Select Retry to re-attempt cleaning using the same lsclean.txt file.
  • Select Send Email to send diagnostic information to CaseWare Licensing Support via Microsoft Outlook. Choose Use Web Mail to send from a different email service.
  • Click Cancel on the Cleaning Wizard and fully restart Working Papers. If the Time Tampering message still persists, try running the Wizard once more.
