Skipping a Paragraph

You can set a paragraph to skip when printed if the cell values within the paragraph match certain criteria. For example, you can set all paragraphs in the financial statement document that have zero balances for both the current and prior year to skip when printed.

This prevents unnecessary deleting of items that may be required at a later time and would then have to be re-created from scratch. Therefore, it is preferable to design your document with maximum line items that skip when balances are zero and print when values are required.

  1. Position the insertion point anywhere in the paragraph.

  2. On the Home tab, clickParagraph, and then click the Paragraph tab.

  3. Under Skip, in the Print list, select to skip a paragraph if all cells are blank, if all numeric, radio button and check box cells are zero, if all numeric cells are zero, or always. Choosing Always causes the paragraph to always skip. This is useful for creating paragraphs of instructions that should not print with the document.

  4. Under Skip, the Condition box controls when paragraphs should be skipped. Enter a condition here or click to access the Calculation Editor and compose a calculation. In this example, the paragraph will skip if cell number c1000 has a value greater than 500.

Sa (this marker will appear faded)

The paragraph will be skipped always

Notes

  • Skipped hard page breaks are ignored and subsequent pages are considered to be part of the "current page".
