Manage files
Manage all of your organization's Working Papers files from a single location with Caseware Tracker. Tracker lists all the Working Papers files (.ac and .ac_) you have accessed or scanned from a specified directory. Each time you open a new file in Working Papers, it is automatically added to Tracker.
To scan Working Papers files into Tracker:
- On the menu, click Tools | Scan for Files, or on the toolbar, click the Scan for Files icon.
- Navigate to the folder that you want to scan for Working Papers files. Click Select Folder.
The folder is scanned for Working Papers files, which are added to the Engagements pane of Tracker. After scanning your Working Papers files into Tracker, you can perform the following actions:

Create a new file |
Create a new file in Working Papers. After creating the file, it is automatically added to Tracker.

Create a sync copy |
Create a new sync copy of a file.

Open a file |
Open the file in Working Papers.

Convert a file |
Convert one or multiple files to the version of Working Papers that is installed on the workstation.

Compress a file |
Compress one or multiple files to save space on your local disk or network.
You can select whether to include backup (.BAK) files and sub-folders in the compressed file. |
Uncompress a file |
Uncompress one or multiple compressed files that you need to work on.

Move a file |
Move one or multiple files to a new folder, while retaining any file linkages.
Select the new folder where the file(s) will be moved. |
Remove a file |
Remove one or multiple files from the Engagements pane in Tracker. Removing a file does not delete it from your local disk or network. If you want to remove a file from your view that is part of the data store, we suggest you hide the file instead.
You can restore all removed files by performing a new file scan. |
Year End Close |
Perform a year end close on one or multiple files.
Complete the options in the Year End Close and Roll Forward dialog, then click Start to proceed. Note: When performing a year end close in Tracker, you cannot modify the R/E Account Number and Account Number fields. |
Publish a file |
Publish one or multiple files to a connected SmartSync Server.
Select the server and location where you want to publish the file. |
Assign users to a file |
Assign one or multiple users to a protected file to permit them access.
Add the users and groups you want to assign to the file. |
Manage protection for a file |
Enable or disable protection for one or multiple files.

Queue a file for synchronization |
Synchronize a file with the SmartSync parent file.
Synchronization progress displays in the Output pane. |
Delete the local child copy of a file |
Synchronize changes to the parent file, then delete the local child copy of one or multiple files.

View the SmartSync properties of a file |
View the properties of a SmartSync file, including the user, last accessed date, completion percentage, and SmartSync heirarchy.

Export a file to Excel |
Export one or multiple files to Microsoft Excel.

Tracker file options
You can specify additional settings for Tracker files by clicking Tools | Options.
General
Customize how you want to display files in the Engagements pane from the General tab.
Option | Description |

Display SmartSync copies under location field |
Display the local path of child copies and additional properties under the Location column of the SmartSync Server view. You must restart Tracker for this setting to take effect. |
Perform File Validation |
Verify that the current user can access each file in Tracker. By default, accessible files display in black text and inaccessible files display in gray text. File validation may temporarily affect Tracker performance. You must restart Tracker for this setting to take effect. |
Cache Information |
Temporarily cache Tracker information locally on your workstation. Click Delete Cache to delete the cache. You must restart Tracker for this setting to take effect. |
Log file
You can track the history of changes to your Working Papers files from the log file. The log file records detailed information of each event as it occurs.
Option | Description |

Log file path | The location on your workstation where the log file is saved. Click Browse to select a new location. |
SmartSync Server Commands |
Select the commands that you want to include in the log file. SmartSync Server commands affect files on a connected SmartSync Server. When a user performs one of these commands, a record is generated in the log that contains the file name, location, time, and result. |
Local Commands |
Select the commands that you want to include in the log file. Local commands affect files on a local workstation. When a user performs one of these commands, a record is generated in the log that contains the file name, location, time, and result. |
Download Commands |
Select the commands that you want to include in the log file. Download commands create new files on a local workstation or connected SmartSync Server. When a user performs one of these commands, a record is generated in the log that contains the file name, location, time, and result. |

Customize miscellaneous settings from the Other tab.

Date format |
Select the date format to use in the next year file. A date is appended to the next year file using this format (unless specified otherwise). |
Perform background verification of file conversions |
Select to verify that all files in a bulk conversion are successfully converted. Enabling this option will increase overall conversion time. |
