Create a Knowledge Library Index

Create your own Knowledge Library Index to manage and share Knowledge Library entries. You can assign each Knowledge Library Index to a specific team and create separate login credentials for administrators and team staff.

To create a Knowledge Library Index:

  1. On the ribbon, click File | Knowledge Library | Knowledge Library Index.
  2. In the Knowledge Library Index dialog, select Create New Knowledge Library Index. Click OK.
  3. The Save As dialog displays. Navigate to the location where you want to save the new Knowledge Library Index. Enter a file name and click Save.
  4. In the New Knowledge Library Index dialog, complete the options as required.

    Option Description
    Knowledge Library
    • Filename: Click Browse... to change the file name and destination folder of the new KLI.
    • Label: Enter a label for the new KLI. This label displays in CaseView dialogs and on the title bar of the KLI. This field is optional.
    Account
    • Password: Enter an administrative password to restrict access to the KLI. This field is mandatory.
    • Confirm: Re-enter the password.
    Team Login
    • Name: Enter a name for the team that will use the KLI. This field is mandatory.
    • Password: Enter a password to allow access to the KLI by the development team. This password controls the ownership of various components of the KLI and is used for versioning and control purposes. This field is optional.
    • Confirm: Re-enter the password.

    Click OK.

The new Knowledge Library Index is created. Afterward, you can rename the Knowledge Library Index and manage login information for adminstrators and users from File | Manage Users.

Import entries into a Knowledge Library Index

After you've created the new Knowledge Library Index, you'll want to populate it with the applicable Knowledge Library entries.

To import entries into a Knowledge Library Index:

  1. On the ribbon, click File | Knowledge Library | Knowledge Library Index. Select the applicable KLI and click OK.
  2. In the Knowledge Library Index, click File | Import Knowledge Library Entries....
  3. Navigate to the folder containing the Knowledge Library entries that you want to import. Click Select Folder.
  4. The Import Knowledge Libraries dialog displays with a list of Knowledge Library entries. Clear the selection of any entries you do not want to import. Click OK.

The entries are imported into the Knowledge Library Index. To open an entry, expand the folder in the Knowledge Libraries list and double-click the entry.

Notes:

  • Never replace library entries using Windows Explorer (i.e. copy & paste) as it can cause database corruption. If you need to modify an entry, do so in CaseView.
  • After modifying and saving an entry from the Knowledge Library Index, you'll receive a prompt to increment the version number. The new version number will update the version field in the database.
