Knowledge Library on the network

Overview

Although the Financials template needs to be installed locally on each user's machine, it is possible to place the Knowledge Library folder on the network, which enables firm authors to collaborate on building library content.

Setup Options

The main things to consider before making a network choice are network speed and content security. The following table outlines the options that are available to you.

Single shared (end-user and content developer) library folder on the network
Summary

Content developers and users access, add, and pull from the same library folder on a network.

Ideal for small organizations (2 - 5 people) where staff can talk face-to-face.

Advantages
  • No copying of folders between networks and local machines
Disadvantages
  • Content at the library level is not locked. This could possibly affect integrity of firm content if users access the firm libraries.
  • Performance issues may exist

Network library (content developer) and local end-user library

Summary

The content developer works on a network copy of the library. When a content update is required users delete the old library folder on their local computer and copy the new library folder.

Ideal for slow networks, large organizations, or users in different locations.

Advantages
  • Best end-user performance
  • Integrity of libraries is ensured
Disadvantages
  • Copying and pasting of content is an additional step
  • Copying and pasting can be prone to human error
  • Users might not copy the latest library to their local computers
Network library (content developer) and network end-user library
Summary

Content developers and users work on separate copies of the library on the network. When content updates are needed, the content developers just replace the end-user network folder.

Advantages
  • Integrity of libraries is ensured
  • No additional steps for end user
  • Latest content being used is ensured among all users.
Disadvantages
  • May encounter performance issues
