Create map numbers

You can think of a Mapping database as your organization's internal chart of accounts. With a mapping database, you can import your client accounts and easily assign them based on your organization's mapping structure. Designing reports is more efficient, since you won't need to accommodate a different chart of accounts for each client.

The mapping database is comprised of map numbers and their properties. You can create new map numbers to expand the mapping database as required.

To create map numbers:

  1. On the ribbon, click Engagement | Mapping. The Mapping database displays.
  2. Select a row where you want to create the new map number.
  3. On the ribbon, click Home | Insert Line. A new line is created and the map number populates automatically.
  4. Select the new line and on the ribbon, click Home | Properties.
  5. Complete the map number properties as required. Click Close.

The map number is added to the Mapping database. Alternatively, you can create new map numbers from Account | Assign Mappings. When you've finished adding all your map numbers, you can begin assigning accounts to them.

Note: To delete a map number, select it in the Mapping database, then on the ribbon, click Home | Delete Line. Alternatively, click Account | Assign Mappings. Right-click the map number and click Delete Mapping Number.

Create calculated map numbers

Calculated map numbers can include multiple map numbers, a range of map numbers, or map numbers meeting specific numbering criteria. You can only use calculated map numbers in CaseView reports and Balance Sheet or Income Statement automatic documents, and you cannot assign accounts to calculated map numbers.

  • To calculate the value of multiple map numbers, separate each number with a comma (,). For example: 10, 15, 20.
  • To calculate the value of a range of map numbers, separate the first and last number with two periods (..). For example: 10..20.
  • To calculate the value of map numbers beginning with certain numbers, use a wildcard (*). For example: 115* would return the values of numbers 115, 115A, 115B, etc.

Prerequisites:

  • To display calculated map numbers in your automatic documents, on the ribbon, click Tools | Options | Documents and select Calculated map/group numbers.

To create calculated map numbers:

  1. On the ribbon, click Engagement | Mapping. The Mapping database displays.
  2. Select a row where you want to create the new map number.
  3. On the ribbon, click Home | Insert Line. A new line is created and the map number populates automatically.
  4. Select the new line and on the ribbon, click Home | Properties.
  5. In the Behavior drop-down menu, select Calculated.
  6. In the Calculation field, enter the map numbers to calculate, separated by commas, ranges, and/or wild cards.
  7. Complete the remaining map number properties as required. Click Close.

The calculated map number is added to the Mapping database. You can display the breakdown of calculated map numbers in Leadsheet/Grouping automatic documents by selecting Show Calculated Map/Group Breakdown in the automatic document's properties.
