Add note numbers

The Note Number function enables you to automatically number the notes in your document. Notes are numbered sequentially based on incoming data, regardless of the number of notes within the document. Once numbered, you can then cross-reference the notes to another part of the document to provide accurate referencing.

To add note numbers:

  1. Position your cursor at the start of the first note.
  2. On the ribbon, click Insert | Note Number.
  3. The Note Number Properties dialog displays. Complete the settings as required.

    Option Description

    Style List

    Select an existing style or create a new style to use for the note numbers. If you select None, you can manually define the style in the dialog. Note that selecting an existing style may override some of the following options.

    Note Subsections

    Specify the format for note number subsections. Note number subsections are only applicable if you have notes with additional notes nested under them.

    Level (#) Format

    Select the numbering format (numeric, alphanumeric, or roman numeral) for the specified note number level.

    Before/End

    Add text or symbols (in double-quotes, e.g. "x") to include before or after the note number.

    Cross-reference

    Enter a cross-reference identifier to use when referencing note numbers.

    Note numbering pool

    Select the applicable note numbering pool (default Numbering pool A). Additional note numbering pools are only applicable if your document contains more than one set of notes that need to start at 1.

    Belongs to category

    Enter or select a category for the note number. For example, you could create categories that coincide with each of the financial statements, depreciation, tax, etc.

    Reset pool counter

    Select to reset the numbering sequence for the current note numbering pool at the current note. Use this option as an alternative to additional note numbering pools if you want to keep the current and following notes in the same pool.

    Skip print

    Select to exclude the note number from the printed document.

    Allow wrapping

    Select to allow note numbers to wrap to the next line if they are too wide for the current line.

    Skip following tab if skipped

    Select to skip the tab following the note number (if it exists) if the note number itself is skipped.

  4. Confirm your selections using the preview at the bottom of the dialog. Click OK.

The note number displays in the document. Repeat this process for each additional note number you want to include in the sequence, or double-click an existing note number to modify it.
