Check out documents and entries

When you want to work on a document or entry, you can check out a copy from the master file. Checked out documents and entries are inaccessible from other users until they are checked in, so you don't need to worry about making conflicting changes with other staff.

To check out documents:

  1. Select the document or documents you want to check out from the Document Manager.
  2. On the ribbon, click Document | Check Out, or right-click the documents and click Check Out.
  3. In the dialog, you can verify or change the folder where the checked out copy will be stored. Click Check Out.

The document copies are checked out to the designated folder. When working in a checked out copy, you'll see [Checked Out Copy] at the top of the Working Papers window.

To check out an entry:

  1. In the Adj. Entries window, navigate to the entry that you want to check out.
  2. On the ribbon, click Document | Check Out.
  3. In the dialog, you can verify or change the folder where the checked out copy will be stored. Click Check Out.

The entry copy is checked out to the designated folder. When working in a checked out copy, you'll see [Checked Out Copy] at the top of the Working Papers window.

Notes:

  • Deleting a document in a checked out copy automatically deletes the document in the master file.
  • You cannot perform a lock down when documents are checked out.
  • If a file passes the document completion date and lock down occurs, you must check in all checked out documents before you can unlock the file.
  • When a locked down file is checked into the locked down master, all lock down milestones are regenerated with the newly introduced data.

Check out documents from a checked out copy

If you attempt to check out documents from a checked out copy, you'll receive a prompt to update the copy with any changes from the master file before checking out additional documents.

To update a checked out copy:

  • In the prompt, ensure you select Update the current file with changes from the master file. Click Check Out.

The checked out copy updates with changes from the master file.
