Manage global users and groups
If your copy of Working Papers is connected to a data store and protection is enabled, you can add users and groups individually, or import them from an existing Working Papers file.
If your organization has an Active Directory connected to your data store, you can import its user and group list into Working Papers.
Add a global user or group
Adding global users or groups to a data store makes them automatically accessible to any file opened in the connected copy of Working Papers.
To add a global user:
- Open Working Papers. On the File menu, click Protection Setup.
- In the Global Users and Groups dialog, below Users, click Add.
- In the Users section, click Add.
- In the User Properties dialog, on the User Information tab, complete each field. If applicable, complete the fields in the Rates group.
- Standard Rate: The rate charged to the client.
- Plan Rate: The rate based on audit risk.

On the Member Of tab, add the user to any applicable groups. Click OK.
Note: You can assign the new user to a global group afterward from the Global Users and Groups dialog.
The global user is added to the data store. You can modify the global user from the Global Users and Groups dialog by selecting the user and clicking Properties.
To add a global group:
- Open Working Papers. On the File menu, click Protection Setup.
- In the Global Users and Groups dialog, below Available Groups, click Add | New....

In the Group Setup dialog, on the Group tab, complete each field. If applicable, complete the rate fields.
- Standard Rate: The rate charged to the client.
- Plan Rate: The rate based on audit risk.
Select Assign global group to all client files to make the global group available in all Working Papers engagement files on your system.
- On the Rights and CaseView tabs, assign the rights and access levels that are applicable to the global group. See Group properties for available settings.

On the Members tab, assign users to the global group. Click OK.

The global group is added to the data store. You can modify the global group from the Global Users and Groups dialog by selecting the group and clicking Properties.
Import a global group
Groups are specific to the file where they were created. If you've created a group in a previous Working Papers file and want to reuse it as a global group, you can import it to your data store.
To import a global group:
- Open Working Papers. On the File menu, click Protection Setup.
- In the Global Users and Groups dialog, below Available Groups, click Add | From Client File....
- In the Import Groups dialog, enter the Source File Path, or click Browse to search for the file.
- Select the group(s) you want to import from the file. Click OK.
The group is imported to the data store. You can assign users to the group from the Global Users and Groups dialog.
Remove a global user from a file
Removing global users from an open Working Papers file removes them from that file only. The global user list remains and you can easily re-assign users to groups in the current client file.
To remove a global user from a file:
- On the ribbon, click Tools | Protection | Protection Setup.
- In the Users and Groups dialog, under Users and Global Groups, select the user to want to remove from the current client file. Click Delete.
- When prompted if you want to remove the user from all groups, click Yes.
The global user is removed from the file and can no longer access it. Similarly, you can remove global groups from a file, however you must remove all users from the group before it can be deleted.
