Annotate documents

You can annotate documents when working in Design Mode. If enabled, users can can add annotations in Form Mode wherever an anchor () is displayed.

When printing a document, annotations print at the end of the document, numbered sequentially. Annotations attached to any skipped paragraphs are excluded automatically from the numbering sequence. For master files with sub documents, the annotation prints at the end of the master document, numbering in sequence automatically.

To annotate a document in Design Mode:

  1. Ensure you are working in Design Mode.
  2. Place your cursor on the paragraph or cell that you want to annotate.
  3. On the ribbon, click Home. In the Annotation group, click the annotation type that you want to add.

    Note

    Enter a note to explain the annotation.

    Tickmark Select the appropriate tickmark for the annotation.
    Reference / Manual Reference Select the documents in the file to reference, or enter a manual reference.

The annotation is added to the document.

Notes:

  • Right-click an annotation to edit, copy, or delete it.
  • Copied annotations retain the same note numbers when pasted. If you edit an instance of an annotation that has been copied, you will receive a prompt to change all related annotations. If you do not change all annotations, the edited annotation is automatically assigned a new note number.

To annotate a document in Form Mode:

  1. Ensure you are working in Form Mode.
  2. Right-click the anchor () where you want to add an annotation. Click Annotate.
  3. In the Annotation dialog, click the applicable tab for the type of annotation you want to add.

    Option Description
    References Click the New Reference or New Manual Reference drop-down menu and select the documents in the file to reference, or enter the manual reference.
    Notes

    Click the New Note drop-down menu and enter a note to explain the annotation.

    Tickmarks Click the New Tickmark drop-down menu and select the appropriate tickmark for the annotation.

    Click OK.

The annotation is added in place of the anchor.

Enable annotation in Form Mode

By default, you can only add annotation (such as notes, tickmarks, and references) to documents while working in Design Mode. However, document designers can enable annotation in Form Mode for users if required.

To enable annotation in Form Mode:

  1. In the document where you want to enable annotations, ensure you are working in Design Mode.
  2. On the ribbon, click Home | Annotation.
  3. In the Annotation dialog, click the General tab.
  4. In the Permissions group, select Draw Anchor in Form Mode. Click OK.

Annotation anchors now display when in Form Mode.
