Create custom Knowledge Library properties

You can create custom properties for the entries in a Knowledge Library to describe the information found in the entry in greater detail. For example, in a Knowledge Library of notes, you may want to indicate the specific area to which the notes pertain by creating a custom property called "Type".

Custom properties allow administrators of the Knowledge Library Index more freedom in describing the Knowledge Library entries. Where predefined columns for views offer the most commonly sought after information, it may be necessary to categorize entries by an unexpected method. Administrators can specify any criteria for the column and assign any value to the entries.

Note: For large collections of Knowledge Library entries, you may want to create a view that filters out the entries that require updates to a custom property. This will simplify the process of entering the information.

To create custom Knowledge Library properties:

  1. On the ribbon, click File | Knowledge Library | Knowledge Library Index. Select the applicable KLI and click OK.
  2. In the Knowledge Library Index, click Edit | Custom Properties.
  3. Click Add.
  4. In the Custom Property dialog, complete the options as required.

    Option Description
    Name

    Enter a database name for the custom property. This name is used internally by scripting and other programming functions.

    Display Name

    Enter a name for the custom property to display in the Knowledge Library Index. This name displays on the column heading of the Knowledge Library Index.

    Type

    Select the an information type for the custom property. If you select Drop Down List, you can populate the list by clicking Add in the expanded pane and defining the name (database name) and display name (name in the drop-down list) of each entry.

    Length

    Define the maximum length of the property.

    Owner

    Displays ownership of the custom property. Owners can modify or delete the custom property.

    Property values modifiable by everyone

    Select to permit all users to enter values into the custom property field in the Knowledge Library Index. If you do not select this option, only owners of the actual record itself can modify the custom property.

    Click OK.

The custom property is created. Repeat this process for any additional custom properties, or click OK to close the dialog.

After creation, the custom property displays on the right-hand side of the Knowledge Library Index as a blank column. Enter the applicable information in this column for the each Knowledge Library entry.
