Manage views

You can personalize the way you look at Working Papers file data using Tracker views. Create and customize views to display only the information relevant to you and other staff, or use them to filter files based on specific properties. For example, you can create a Lock Down view that filters your files based on their lock down status and specific jurisdictions and classes.

There are two types of views:

  • An icon of a star that represents a personal view in the Caseware Tracker views panePersonal: All users can create personal views for use on their local workstation.
  • An icon of a hand holding a star that represents a shared view in the Caseware Tracker views paneShared: Users with administrative rights to a data store can create shared views. Shared views are accessible by any users in the data store.

By default, some sample views are provided in the Views pane of Tracker.

To create a new custom view:

  1. Right-click anywhere in the Views pane and click New. The New View dialog displays.
  2. Enter a name for the new view.
  3. Select whether the view is a Personal or Shared view.

    Note: You require administrative rights to create shared views.

  4. Click Filter.... The Edit Filter dialog displays. You can personalize your view using the available filter options. When complete, click OK, then OK.

The new custom view is added to the Views pane. Right-click the view and click Save to keep your settings. If you created a shared view, right-click the view and click Publish to share it with the data store users.

Filter views

When you create, copy, or modify a view, you can filter the files that the view displays based on a variety of different properties.

General

Filter the view using general file properties.

Filter Description
Compressed Filter based on the file's compression status.
Progress Filter based on the progress of the file (0 to 100 percent).
Due Filter based on the file's due date.
Tax Jurisdiction

Filter based on the selected Tax Jurisdiction in the file's Engagement Properties.

Tax Entity

Filter based on the selected Tax Entity in the file's Engagement Properties.

Cleaned Up Filter based on whether or not a cleanup has been completed on the file.

Lockdown

Filter the view using lock down settings.

Filter Choices
Lock Down Status

Filter based on the file's current lock down status.

  • Not Locked Down
  • Pending
  • Locked Down
  • Unlocked
Lock Down Type

Filter based on the selected Type in the Lockdown Wizard.

Lock Down Date

Filter based on the selected Lock Down Date / Document Completion Date in the Lockdown Wizard.

Report Date

Filter based on the selected Audit Report Date / Auditor's Report / Date of signature of audit report / Report Release Date in the Lockdown Wizard.

SmartSync

Filter the view using SmartSync settings so that you can queue files for synchronization in an efficient manner.

Filter Choices
SmartSync

Select whether or not to include SmartSync files in the view.

SmartSync File Type

Filter based on the SmartSync file type.

  • Not SmartSync
  • Traditional SmartSync
  • SmartSync Server
Top Level Parent

Select whether or not to include SmartSync files that are in the top level parent position in the view.

Local Copy Select whether or not to include local child copies of SmartSync files in the view.
Local Child Path

Filter based on a specific file path for local child copies.

Local Child Last Accessed

Filter based on the local child copy's last accessed date.

Advanced

Filter the view using specific filter strings.

Filter Choices
General Filter

Displays string values based on the selections on the General tab.

Advanced Filter

Filter based on custom strings. You can populate the Advanced Filter with Engagement Properties using the Insert Field drop-down menu.

Examples:

  • periodendy='2021' displays files with a 2021 year end date

  • periodend>=dmy(1,4,2021) & periodend<=dmy(30,6,2021) displays files with a year end date between April and June 2021

  • created>='20131001000000' displays files created after 2013-10-01 00.00.00

View options

The following options are available to help you manage existing views:

Option Description
Save Save changes to the view. A red dot displays on the view's icon when there are unsaved changes.
Revert Restore the previous version of a view. This option deletes the most recently saved changes.
Rename Rename the view.
Delete Delete the view. If you delete a shared view, all users in the data store lose access to the view.
Copy Make a copy of the selected view, which you can further modify.
Properties Display the properties of the selected view, which you can further modify.
