Manual Document Reference/Document Link Properties Dialog

Number

Enter a number for the document. Each document on the Document Manager must have a unique number.

Note: When assigning a number to a document, the Working Papers address bar cannot parse jump codes containing URL restricted characters (such as *?/\ or :) when these are typed directly into it. When a document that contains these characters is saved as HTML, Working Papers replaces these characters with a ! mark. Documents containing * cannot be converted to HTML.

Name

Enter a name for the document reference.

Type

Select a document link type below to learn more about the specific options available for that type.

• Manual Document

  No additional fields specific to this type appear.

• File or URL

  Option	Description

  Placeholder	Select to make this document a placeholder.

• Word Document (.docx)

  Option	Description

• Application

  Setup	Click to launch the Setup Helper Applications dialog.

Include in Index

Select to include the document in the Document Index.

Retain on Cleanup

Select to retain this document whenever a clean up is run in the client file.

Lock Down

Select to lock down the document if a lock down is performed.

By default, the Lock Down check box is selected for all new documents created before lock down. If a document is created after lock down, the Lock Down check box is cleared and not available indicating that the new document is not locked down and cannot be locked down.

Roll Forward

Select to roll forward this document into the new client file during a year-end close.

Roll Forward as Placeholder

Select to roll forward the document into the new client file regardless of whether the document itself exists in the client file.

Role Set

Click the drop down menu to choose a role set.

Role Sign Offs

The initials of the person completing the document will be displayed in the corresponding box. If the box is left blank, the initials will not be printed on the document.

When entering initials the corresponding date box automatically defaults to the current system date and may be changed.

Extended Description for CaseView

Enter an optional description. The extended description does not appear on the printed document, but is available for linking to alphanumeric cells in CaseView documents using the Linkage worksheet.

Cleared

Select to complete the issue.

Number

Unique identifier for this issue. The default number is composed of the user's initials and an incremental number. For example, for the user Gary Adams creating his second issue for this file, the issue number is GA-2.

For versions of Working Papers 2010 and lower, issues did not have an issue number. If you have upgraded from these versions, an issue number is not specified.

Priority

Priority level of Low, Normal, or High for this issue. These options are fixed and cannot be customized.

Subject

Summary description of the issue. The subject appears beside the issue number to help identify the issue.

Type

Issue category such as a client issue, engagement issue, or considerations for next year issue.

You can create custom issue types to match the terms used by your firm. For more information, see Issue Types.

Assigned To

User assigned to this issue. Users can only be selected from the existing list, or added as necessary. Options for assigning issues include:

• Everyone - All members that can access the client file.
• None - No users.
• User group names - Only users in the specified user group under Protection.
• User name - The specified user.
• Add new user - Create and assign new user to issue.

Filter

Click the drop down menu to change the Issue view. The defaults are:

• All Issues

  Lists all the issues for the current document, including their cleared status; completed issues will be marked by strike-through.

• My Outstanding Issues

  Displays issues assigned to the current user, to a group the current user belongs to, or to everyone, where the issue is not completed or cleared. The Assigned To column is included so that the particular assignee can be determined.

• All Outstanding Issues

  Displays issues assigned to any user or group (or to everyone) where the issue is not completed or cleared. The Assigned To column is included so that the particular assignee can be determined.

• Uncleared Issues

  Shows all issues that have been completed but are not yet cleared, and includes the user that completed the issue.

New

Add a new issue to the document. Learn more.

Edit

Edit an issue. Learn more.

Delete

Deletes the highlighted issue. An issue can only be deleted by the user who created it.

Milestone

A paperclip in this column indicates the event is a milestone.

Event

The event is listed. The full list of events that affect an engagement include:

• File Creation
• Sign Out/In
• File Access
• Year End Close
• Update from Template
• Check Out/In
• Document Deletion

User

Lists the user credentials as outlined under Protection or manually entered.

Date

The date the event occurred. The default date format is dd/mm/yyyy.
