Exporting data from MAS 90 v4.0 and 4.2

Before MAS 90 data can be imported into Working Papers, it must be exported from the MAS 90 v4.0/4.2 program as fixed length ASCII text. You will need to create exchange settings in MAS 90 v4.0/4.2 for any of budget and activity data as well as transaction data.

Note: Prior year data is not exported from MAS 90 v4.0/4.2.

When importing from MAS 90 v4.2, only the 'Standard File Format' is supported.

  • If Protection is activated, the File permission "Import" is required to perform this operation.
  1. In MAS 90 v4.0/4.2, select General Ledger Utilities menu | General Ledger Exchange.
  2. Enter the accounting date for the general ledger. The General Ledger Exchange dialog opens.
  3. Do one of the following:
    • If exchange settings exist, select the exchange settings you wish to use for exporting the data and click Proceed. The data is exported into the files specified for each exchange setting and you can import the data into Working Papers.
    • If no exchange settings are created, the General Ledger Exchange Settings wizard opens. Follow its instructions. Use the following as a guide as to the selections to make to export the appropriate data for Working Papers.
  4. In the Create New Exchange Settings screen of the wizard, select Export Data and click Next.
  5. In the Create New Exchange Export Settings page, select the data you wish to export and click Next.

    • To export trial balance data without general ledger details, select Budgets and Activity. A dialog opens where you can select just budget data or just activity data.
    • To export transaction data, select Transactions.
    • If you would like to export both, you will have to create another exchange setting for the one not selected once this exchange is created.

    Note: Do not select Accounts.

  6. In the Specify an Exchange Name page, type a name and description to help you identify this particular setting for easy selection in the General Ledger Exchange dialog. Click Next.
  7. In the Define Account Status Options page of the wizard, select which accounts to include in the export and click Next.

    • To include accounts that are active, select Active.
    • To export accounts that are inactive, select Inactive. If you do not wish to see inactive accounts in Working Papers, clear this check box.
    • To export accounts that have been deleted in MAS 90v4.0, select Inactive. If you do not wish to see deleted accounts in Working Papers, clear this check box.
  8. In the Define Additional Options for Accounts and Budgets page, select an option on how to deal with expired accounts and click Next.
  9. In the Select Accounts to Exchange page, select All for each field and click Next.
  10. In the Define Exchange File Type and Name page, select ASCII and enter the path and name for the export file. The file should be saved in the SOA folder that you created for the SY0CTL.SOA file in Step 1. Use the button beside Exchange File Name to select the path and enter the name. Click Next.
  11. In the Select Exchange File format page, select Alternate File Format and click Next. Always use this format.
  12. In the final page of the wizard, do one of the following:

    • To save the setting without exporting the data, click Finish. Use this option when you want to create another exchange setting without exporting the data yet.
    • To save the setting and export the data at the same time, select the Execute the exchange when clicking Finish check box and then click Finish.

The data from the MAS 90 file will be exported and ready to be imported as an ASCII file into Working Papers.
