Account/Line Properties Report Setup Dialog

Access: On the Account tab, in the Balances group, click Trial Balance. Select Report tab and click Properties.

Entity

In a consolidated file, select the name of the entity to which the account belongs.

Name

Represents the account name and is displayed in the Working Trial Balance, the general ledger, draft Financial Statements, and all working papers that display the account. If the required name is longer than 50 characters, click to add an extended description that will appear on printed documents.

Account Number

Account Numbers can be up to 40 digits and alphanumeric. Account numbers must be unique and cannot be duplicated.

Class

If applicable, type or select the appropriate ratio class. The ratio class is used for calculating financial ratios, conducting analytical review, and preparing the schedule of unadjusted errors.

Normal Sign

If applicable, the normal sign represents the nature of the sign of how the account should be displayed. Select Credit if the account is normally a credit balance or select Debit if the account is normally a debit balance. Depending on the account balance, the amount will be displayed or printed with brackets.

L/S

Type or select the leadsheet number where the account and amount will be displayed.

Type

Represents the area (Balance Sheet, Income Statement or Statement of Cash Flow) of the draft financial statements the account is applicable.

Control Number

Select a control number from the drop-down list.

Control numbers or non-posting account numbers are used in the preparation of the draft financial statements for three purposes:

To "roll up" account balances from a schedule to a main balance sheet.
To transfer account balances from one section of a statement to another.
To simplify the appearance of divisional accounts on balance sheet and income statements.

These non-posting accounts can be a maximum of two digits (1-99).

Division/Company No

If applicable, this represents the division or company if preparing a statement with multiple divisions or companies.

Accumulator Total

Select to control the totaling accounts in the draft financial statements. Up to six accumulated totals are permitted. Select Level 1 to 6 or select Clear to clear all previous accumulators.

Sub Account No

If applicable, this represents the sub number of a prime account number. You can create up 6 digit sub accounts for any prime account. Sub-accounts are useful for job costing and multiple breakdowns of key accounts such as selling expenses or accounts receivable.

Account for Calculating % of sales (denominator)

Type or select an account to represent the denominator for calculating percentages in the Report setup. To specify the default account number, click the Settings button in the Working Trial Balance browse. Beware that if you enter an account number, this alternate number will be used as denominator for all subsequent percentage calculations until another account number is specified.

Show currency symbol before balances

Select to print a currency symbol before the balance.

Start a new page at this point

Select to start a new page as of this point. Useful if preparing schedules for a statement. Do not use this option when changing the type of statement, for example, from Balance Sheet to Income Statement. Working Papers automatically inserts a page break when changing the statement type.

Column Position

Select to indicate how far the account balance column is to be indented. Up to three columns can be used. The column number is only applicable for Balance Sheet accounts.

Underline

Select to underline the selected balance. If applicable, choose single to print a single underline and double to print a double underline.

Print Features

Select from the following options:

N/A - no printing feature required
Credit - will only print if the balance is a credit
Debit - will only print if the balance is a debit
Header - will print as a header on every page.
Justify - will center text.
Skip - will not print.

Cash flow account to receive credits

Select to link Balance Sheet and Income Statement accounts to the Statement of Cash Flow. For Balance Sheet and Income Statement accounts, type or select a Statement of Cash Flow account (an account number with the format S##) you want to receive any credit amounts. Once linked, all credit amounts for the Balance Sheet or Income Statement account automatically update the Statement of Cash Flow account.

Cash flow account to receive debits

Select to link Balance Sheet and Income Statement accounts to the Statement of Cash Flow. For Balance Sheet and Income Statement accounts, type or select a Statement of Cash Flow account (an account number with the format S##) you want to receive any debit amounts. Once linked, all debit amounts for the Balance Sheet or Income Statement account automatically update the statement of cash flow account.

Calculate balance using

The Calculate balance using drop-down box has the following options:

Active period (closing) balance: Calculates the balance using the active period (closing) balance of the Balance Sheet or Income Statement account.
Active period (closing) balance - negative:Calculates the balance by reversing the active period (closing) balance of the Balance Sheet or Income Statement account.
Difference between active and prior period:Calculates the balance using the difference between the active and prior period balances of the Balance Sheet or Income Statement account.
Difference between active and prior period - negative: Calculates the balance by reversing the sign of the difference between the active and prior period balances of the Balance Sheet or Income Statement account.
Prior period (opening) balance: Calculates the balance using the prior period (opening) balance.
Prior period (opening) balance - negative:Calculates the balance by reversing the sign of the prior period (opening) balance.

Update cash flow accounts

The Update cash flow accounts drop-down box has the following options:

N/A:If the chosen, then the opening balance for the Statement of Cash Flow account will have to be entered in the Cash Flow tab.

Adjustments to these balances can be made as adjusting journal entries using Statement of Cash Flow as the account type.
Automatically updated from accounts: If selected, Working Papers automatically calculates the balance of the Statement of Cash Flow account using Balance Sheet or Income Statement accounts linked to the Statement of Cash Flow account.
