Insert note number references
You can reference existing notes in a document using note number references. Note number references are useful for referring readers to different parts of a document, for example, you can refer readers to the financial statement notes for further explanation of an account balance.
To insert a note number reference:
- Position your cursor where you want to insert a note number reference.
- On the ribbon, click Insert | Note Number Reference.
- In the Note Number Reference dialog, click New. A blank line is added to the cross-reference list.
- In the Cross-reference from: field, select the identifier of the note number you want to reference, or create a new note number reference by entering a name in the field.

Complete any additional settings as required:
Option Description Cross-reference from Select the identifier of the note number you want to reference.
- Sort notes by paragraph order: Select to organize multiple note number references by the order in which they display in the document.
Reference skip condition Define a condition in which to skip the note number reference in a document, for example, if there is a net loss.
- Can be removed from Form Mode: Select to allow users viewing the document in Form Mode (with or without editing enabled) to remove a note from the note number reference. This option requires you to first enable Permit modification in Form mode.
- Fully expressed reference: Select to allow referencing of sub-reference notes with the formatting of their parent references, for example, a note called "a" under a note called "1" will display as "1a" in the note number reference.
Hide unreferenced cross-references in Form Mode Select to hide any note number references that are not used in the document while in Form Mode. Include any before and end text from referenced notes Select to display any text associated with the referenced notes, for example, "Note 2". Show Note Identifiers Select to display note identifiers in the note number reference. Quick Drilldown to Note Number Select to make drilling down on the note number reference take you directly to the note. Permit modification in Form Mode Select to allow the user to add or remove note numbers from the note number reference. If all note numbers are removed, the entire note number reference will be hidden. This option requires users to also have the necessary permissions to edit the paragraph or section where the reference exists.
- Category available in Form Mode: If you've assigned the document's notes to categories, specify the applicable category for the note number reference in the drop-down menu.
Common Select a common numbering format for the note number reference, or select Custom to create a unique prefix and suffix. Singular Specify the numbering format for single note number references. The Before field represents the prefix and the End field represents the suffix. You can enter a calculation for the format by clicking ... to access the Calculation Editor. Plural Specify the numbering format for multiple note number references. The Before field represents the prefix, the Between field represents the separator between references and the End field represents the suffix. You can enter a calculation for the format by clicking ... to access the Calculation Editor. Allow Wrapping Select to allow text in the note number reference to wrap to the next line.
Click OK.
The note number reference displays in the document as {N#}. You can view the actual note number reference in the document's print preview (File | Print | Print Preview).
Notes:
- You cannot use display only text for button cells as a note number reference.
- In Design Mode, right-click a note number reference to jump to the referenced note or edit the reference. If the note number reference references more than one note, you can select the applicable note from the list.
