Hiding a Column of Cells

Setting tab markers to display only is a feature that permits skipping of a column of cells when printing. This skip function prevents the unnecessary deleting of a group of cells, which may be required at a later date and would then have to be recreated from scratch.

If you have designed your template to include both current and prior year columns and are working on a client file with only current year balances, the tab marker belonging to the prior year column would be set to display only. The following year, disengage the Display only tab check box and enter the prior year balances.

  1. Hold Ctrl as you select the columns of cells.
  2. On the Home tab, click Cell to open the Block Cell Edit dialog.
  3. Under Options, select the Display Only option.

Note: Hiding the prior year column of cells is useful if you have designed your template to include both current and prior year columns and are working on a client file with only current year balances. The following year, disengage the Display Only check box and enter the prior year balances.

  1. Drag the pointer to select the paragraphs containing the columns you want to make display only. Tabs that are common for the entire area appear as black tab markers on the horizontal ruler.

    For example, if making the prior year column in the Assets section of the Balance Sheet display only, select all of the rows in this section.

  2. Double-click the tab marker on the horizontal ruler that pertains to the column of cells you wish to make display only.
  3. In the Tab dialog, ensure that the Use Cell Group box is set to None.
  4. Select the Display only option.
  5. Make any additional modifications to the Tab position and justification.
  6. Click OK.

    All cells belonging to the tab marker will automatically acquire the Display Only attribute.

  7. On the File tab, click Print | Print Preview to view the document with one less column.

    It may now be necessary to realign column positioning to account for the column that is set to skip when printed.
