Formatting columns and cells

In Financials, you can set the spacing and shading for columns in financial statement tables, and you can set display attributes for cells in tables.

Setting column spacing and shading

You can specify the column spacing and shading to use in the financial statements.

  1. In the Document Manager, open the CL - Organization standards document. From the Organization Settings pane, select Formatting and Other.
  2. In the Columns section, from the Default space between columns drop-down, select the amount of white space to provide between columns, or select Other and type the amount into the field provided.
  3. From the Reserve space for brackets drop-down, select Yes if all numeric data in a column is to be right-aligned regardless of whether the data is in enclosed in brackets. The right bracket is displayed in space reserved for it at the right of the numeric data. Select No if no space is to be reserved for brackets.
  4. From the Shade space between columns drop-down, select Yes if the space between columns is to be shaded, or No if the space is to be unshaded.
  5. From the Column shading colour drop-down, select the column shading color to use.
  6. If you want to ensure that the user cannot change a column spacing or shading option set here, click the Lock icon next to the appropriate drop-down.
  7. To preview what the financial statements will look like with the column spacing and shading options you have selected, click Preview. A Formatting Properties screen appears that displays the look of a typical financial statement area. For more information on this screen, see the section Formatting Properties.

In the client file, when financial statements are generated, the column spacing and shading set here is used unless it has been overridden by the end user.

Setting cell display attributes

You can specify attributes that determine how data is to be displayed in cells.

  1. In the Document Manager, open the CL - Organization standards document. From the Organization Settings pane, select Formatting and Other.
  2. In the Cells section, from the Display negative as drop-down, select how negative data is to be displayed in a cell.
  3. From the Display positive as drop-down, select how positive data is to be displayed in a cell.
  4. From the Display rounded to zero symbol drop-down, select Yes if an asterisk is to be displayed in cells in which data has been rounded to zero. Select No if this asterisk should not be displayed.
  5. From the Dash position drop-down, select where the dash should be positioned in a cell when it is being used to represent a zero value. You can select From Left, At Center, or From Right.
  6. From the Text separator between year and numeric drop-down, select the separator to appear between a year and a numeric amount when they appear together in a text paragraph, or select Other and type the separator into the field provided.
  7. If you want to ensure that the user cannot change an option set here, click the Lock icon next to the appropriate drop-down.
  8. To preview what the financial statements will look like with the cell display attributes you have selected, click Preview. A Formatting Properties screen appears that displays the look of a typical financial statement area. For more information on this screen, see the section Formatting Properties.
