About Groups and Global Groups
Groups help ensure the protection of client files. Security groups can be created called groups or global groups. Global groups can be attached to multiple client files and retain group properties as well as any users assigned to the global group.
Global groups are only available if a Data Store is being used. Global group properties and users assigned to the groups are maintained in the Data Store.
The following outlines the behavior of global groups:
- The properties of global groups (including users assigned to the global group) cannot be modified in the client-specific users and groups dialog. Any changes to global groups must be made in the Global Users and Groups dialog.
- Users who are not members of a specific global group may be added to the global group. However, this assignment only affects the currently active client file and the actual definition of the global group does not change. These locally assigned users may be subsequently removed from the group.
- Users who are members of a global group may not be removed from a global group. For this reason, these members appear faded in the Available Groups window.
You can specify the role of each user in preparing and completing a client file by creating groups with defined access rights to areas of the program. Users are then assigned to the groups and are allocated work according to their role in the engagement.
