About Roles

Roles in CaseWare® Working Papers are used for electronic sign off of documents in a client file. Roles can assist you when there are several collaborators in the client file and engagement progression is dependent on role sign offs.

How it Works

By default, the Prepared by and Reviewed by roles are available from Working Papers. These roles can be used for simple review processes where one group of staff members is responsible for preparing documents in the file and another group is responsible for reviewing their work.

You can then track engagement progress as these roles are signed off on documents across the client file. When an engagement team member finishes their work in a document, they can sign off their designated role to indicate that their role's part of the work is complete.

Additionally, you can create custom roles and role sets to support various kinds of functional teams working in the client file.

A Role Set is a set of custom roles that can be used for signoff throughout an engagement file or on a per document basis.

A custom role represents some work responsibility given to a staff member working in the file. When this staff member completes their particular work they can sign off this role for any given document that uses this role. You can create sets of custom roles to define the particular work responsibilities for a given document in the file. Using the Working Papers sign off feature, you can indicate to others a particular role has been performed in a document and the next step in the engagement can proceed.

You can specify rules between roles to define dependencies between them. For example, a role set has three roles, A, B, and C, where role C cannot be signed off until role A or B is signed off. This dependency can be captured in Working Papers and applied to the client file as a whole or on a particular document.

Filtering on Roles

With roles and assignment done on documents, filter the Document Manager for a quick view of what documents needs to be signed off, what documents were signed off out of order, and what documents you can sign off. For more information on using filters, see Using Filters on the Document Manager.

Other Considerations

Role sets can have custom role names and colors and you can include up to eight roles for each set. Support for Role Set functionality has been added to the copy components, scripting and interpreter functions.

These role sets affect the interface, reports, role requirements, CaseView documents, COM functions, interpreter functions, and document filters.

Note: When documents are copied or dragged from a different client file, the role completion is not copied. Copied documents will have no roles signed off in the new file.
