Export Summaries to General Ledger (software)

Exports general ledger data to a general ledger file.

Before you can export GL data to the working paper module, the following conditions must be met:

  • the general ledger file must already be created,
  • the Dates sections of the Company Profile (Time) and the Client Profile in the general ledger software must be identical, and
  • the general ledger file must have the same account numbers as the Time file (for all accounts used in the Time file).
  • Only approved time and expense entries are exported.

An error will occur if the above conditions are not met.

Represents the path where the working paper file is located.

Represents the path to the general ledger file.

Represents the file name of the general ledger file. Click the Browse button to specify the folder and file to which you want to export.

Represents the period containing the data you want to export. Ensure that the Current period box matches the current period in the general ledger file.

Enter up to a 7-digit reference number. All exported information will use the same the reference number. Ensure that you do not use a reference number that has already been used in the general ledger software. Do not use the characters *, ? and " in the identification.

Select this box to export invoice, cash receipt and credit note journal information. If you choose to export invoice, cash receipt, and credit note information, you must ensure that there is an Accounts Receivable general ledger account specified in the Company Profile on the Receivables tab.

Select the applicable journal Ids for Invoices, Cash Receipts, and Credit Notes. Click images\list2_shg.gif to select the applicable Journal ID from the list of available journals in the general ledger file.

Click images\list2_shg.gif to select the applicable Journal ID for invoices in the general ledger program, e.g., Sales Journal (SJ). Invoice journal summaries appear in the general ledger program with the description "Sales journal".

Click images\list2_shg.gif to select the applicable Journal ID for cash receipts in the general ledger program, e.g., Cash Receipts Journal (CR). Cash Receipt journal summaries appear in the general ledger program with the description "Cash receipt journal".

Click images\list2_shg.gif to select the applicable Journal ID for credit notes in the general ledger program e.g., General Journal (GJ). Credit Note journal summaries appear in the general ledger program with the description "Credit note journal".

Select this box to export the time and expense journal information with a description of Time journal or Expense journal. If you choose to export time and expense entries, you must ensure that there is a WIP general ledger account specified in the Company Profile on the Receivables tab.

The time and expense entries appear on the Credit side of the journal while a WIP GL Account entry balances with time and expense entries on the Debit side of the journal.

Click images\list2_shg.gif to select the applicable Journal ID for time and expense entries in the general ledger program, e.g., General Journal (GJ).

Click Export to export the selected items to the specific general ledger file. Once the export is complete, access the general ledger file and view the previously selected journals. For example, if you selected the Sales Journal (SJ) for invoices, access the document number SJ on the the general ledger program document manager, and match it to the Time Invoice Journal document. They should be identical.

Note

  • If the file is set to calculate Primary Tax on Expense entries and a tax type is selected in the Company Profile, each expense entry is calculated with the tax.
