Ways to Customize CaseView Documents

CaseView documents can be accessed in three ways from Time and each method allows a different level of access to editing tools.

Most, but not all areas may be customized when accessing CaseView through the Invoice, Statement or Credit note tabs of the Company Profile. These changes are global. That means that changes made to

  • a detailed invoice, affect the layout of all invoices using the CaseView detailed invoice format,
  • a basic invoice, affect the layout of all invoices using the CaseView basic invoice format,
  • a miscellaneous invoice affect the layout of all CaseView miscellaneous invoices,
  • a credit note affect the layout of all CaseView credit notes,
  • a statement affect the layout of allCaseView statements.

Miscellaneous invoices and credit notes

By nature, miscellaneous invoices and credit notes need to be customizable and they are. To modify their layouts, toggle to the Edit mode (Form mode with editing enabled).

The Detailed and Basic Invoices and Statements

In the invoices generated from the Billings from WIP database (detailed and basic invoices) and the statements, the "section logic, cell logic and row logic" are LOCKED from edit mode. This protects the integrity of the documents.

Still much customization of the layout is possible. Through the Edit mode of CaseView, the headers and footers can be completely modified. In the body, cells may be moved or deleted and fonts changed.

In both the detailed and basic invoices users can add or edit input cells and paragraphs in the Edit mode. These are not available in statements.

Finally, in the detailed invoice, memos may be created and edited that apply to all detailed invoices.

CaseView invoices and credit notes can be accessed and printed from the processing dialog where they are created. That means CaseView WIP invoices can be opened from the Billings from WIP dialog, miscellaneous CaseView invoices can be accessed from the Miscellaneous Invoice dialog and credits notes can be opened from the Credit Note dialog.

In each dialog, clicking the images\cvppbut_shg.gif opens the CaseView document.

When CaseView opens, only the invoice or credit note opened in the processing dialog is shown and so the changes made here affect just that document.

The Detailed Invoice

The detailed invoice uses billing detail options to show detailed transactions billed to the invoice, sub-totaling and headings. Memos can be created for more details.

In the detailed invoice, users can add memos, as above, and edit input cells to include special notes. Users can attach the appropriate header/footer to the invoice.

Further detail may be specified for the detailed invoice final invoices in the Billing Details (Setup Billing Codes dialog). When the style chosen is the detailed invoice, a Billing Detail button is activated near the bottom of the Billings from WIP dialog. Click it and open the Setup Billing Codes dialog where you can specify the amount of detail to appear on Final Invoices for the current client. The detail appears only for items that have a checkmark in the Bill column.

Basic, Miscellaneous invoices and credit notes

In the basic invoice you can add lines in order to customize the invoice.

Basic style invoices, miscellaneous invoices and credit notes are the most modifiable from the processing area. Users can edit and customize the same features that can be edited through the Company Profile. The cell logic, section logic and row logic are locked in the processing stage.

  • Modifications made to the statements are saved to the CaseView documents _s.cvw and _t.cvw documents. Therefore, the changes to these documents can be done only through the Company Profile and not through the processing dialogs (when individual documents are created) or when accessed in the Document Manager.
  • Modifications made to the billing from WIP invoices, miscellaneous invoices and credit notes through the Company Profile are saved to the _b.cvw, _m.cvw and _c.cvw documents, respectively.
  • Modifications made to the basic invoice through the Billings from WIP dialog are saved to individual basic invoice in the WIP. This means that changes made to one basic invoice is done only to that one and not any other basic invoice created, before or after.
  • Modifications made to a miscellaneous invoice through the miscellaneous dialog are saved to individual miscellaneous invoices in the Receivables. This means that changes made to one miscellaneous invoice is done only to that one and not any other miscellaneous invoice created, before or after.
  • Modifications made to credit notes through the credit note dialog are saved to individual credit notes in the Receivables. This means that changes made to one credit note is done only to that one and not any other credit note created, before or after.

CaseView invoices, credit notes and statements may be previewed and printed when opened from the Time Document Manager. No editing is allowed.

The documents' properties may be accessed from the Document Manager. In the Document Properties dialog you can set the order in which the document is printed and set filters to print only those documents meeting the filter. To build filter calculations easily, use the Equation Editor. Click images\eqedit_shg.gif  to access it.
