Transfering time and expenses between clients

Unbilled time and expenses can be transferred from one client to another regardless of the date that the transaction was entered. In addition, the transactions can be transferred to specific projects and subprojects. A specific dialog, accessed from the Billings from WIP dialog exists to make this task easy.

  1. From the Process menu, select Billings/Invoices | Billings from WIP.
  2. Enter the client number.
  3. Click the Transfer button.
  4. Enter the number for the client to whom to transfer the transaction.
  5. If applicable, enter the project and subproject.
  6. All unbilled time and expenses from the original client are listed. Select the transactions that are to be transferred by checking the "Tran" field.

Multiple records can be selected and checked off simultaneously. images\onestep_shg.gif How?

As transactions are checked the amounts are accumulated in the "Amount to transfer" box.

  7. If applicable, in the Reference column, enter a description or reference to explain the transfer. If the description is more than 15 characters long, the extended description dialog will open to allow completion of the entry. Alternately you can click images\extdesc_shg.gif to open the memo dialog.
  8. Click the Process button to complete the transfer.

Note: If the transaction is associated with a project or subproject, the date must fall on or before the completion date of the project or subproject. If the transaction date falls before the start date of the project or subproject, the user is asked to confirm that the right date has been selected.
