Document Settings

The following table outlines the settings available to all the automatic documents. Make selections to control the type and amount of data displayed on the document. This portion of the properties dialog changes depending on the Document Type and Format selected.

A convenient auto-fill behavior is available for document settings where you can specify a range of values. Select a value for either the From or To field and Time automatically sets the remaining field to define a valid range. Ensure the auto-filled field establishes your desired range.

Setting Description
Aging Filter Select an age range to limit the invoices displayed on the statement. Only those clients with invoices in the filtered aging range will be shown.
Alternate Code

Alternate codes are available for classifying miscellaneous information about clients, groups or contacts. Use an alternate code filter to print or view only those clients that match criteria you specify. The filter usually takes the form of a condition, such as "Golf=Yes". Any that do not meet the filter are excluded.

To build alternate code filters easily, use the Function Editor. To access it, click .

Balance Filter Filter the statements based on the client's receivable balance. Select a range to limit the transactions displayed on the statement. Only those clients with transactions whose balances fall in the filtered range will be shown.

Client Partner or Manager

(Client formats only)

If the Time file is set up to use client groups assigned to senior staff members (partners or managers), use this pop-up to select one partner or member's groups to display on the report. Note that inactive staff are not included in the selection list.

Comparative years

(Prior Year Comparative format only)

Specify the number of years to compare total billings for each client against prior years.
Completed Select the dates between which the project Completion date should fall.
Due Select the dates between which the project Due date should fall.
Filter

Use a filter to print or view only those entries that match criteria you specify. The filter usually takes the form of a condition. Any that do not meet the filter are excluded. To build filter calculations easily, use the Equation Editor. Click to access it.

First Sort order Each of the formats can be presented in a variety of orders. Select the order to arrange the report by.
From/To Amount If used, only the clients whose cash receipt balances are greater than the "From" amount and/or less than the "To" amount will be displayed or printed. This option is visible only for the document Format Summary.
From/To Category

Specify the range of category codes to be included in the report. This option is only available for Alternate Codes document types with Client / Group or Contact Companies document formats.

Select start and end categories in the relevant fields. Only category codes within the specified range are included in the report; the inclusive range is based on numerical or alphabetical order of category codes. To specify multiple categories not in numerical or alphabetical sequence, use the Filter field to specify the relevant category codes in the Equation Editor.

From/To Classification

Specify the range of classification codes to be included in the report. This option is only available for Time Journal document types with Classification summary or Classification / Workcode summary document formats.

Select start and end classification numbers in the relevant fields. Only classification numbers within the specified range are included in the report; the inclusive range is based on numerical or alphabetical order of classification numbers. To specify multiple categories not in numerical or alphabetical sequence, use the Filter field to specify the relevant classification codes in the Equation Editor.

From/To Client

You can restrict the number of clients to be included in the report by specifying a range of client ID codes. This option is visible only for the document formats: Detail and Client (if using a format of client, Order must be set to Name or Number).

To do this, type or select a starting ID number in the From box and an ending number in the To box. Ensure that you enter the ID numbers in numerical or alphabetical order. The payments for those clients outside the range will not be displayed or printed on the report. The excluded clients are hidden and may be returned to the report at any time by clearing the box(es) or entering different ID numbers.

From/To Contact or Contact Company

Specify the range of contacts or contact companies to be included in the report. This option is only available for Contacts or Contact Companies document types.

Select start and end contacts or contact companies in the relevant fields. Only contacts or contact companies within the specified range are included in the report; the inclusive range is based on numerical or alphabetical order of contact names (first or last) or contact company names. To specify multiple categories not in numerical or alphabetical sequence, use the Filter field to specify the relevant contact companies in the Equation Editor.

From/To Date If blank, the date range is set to the current active period by default. This can be changed as necessary. If a date range is entered, only billing information within the date range appears on the document.
From/To filter boxes

You can restrict the number of items to be included in the report by specifying a range of ID codes for the order chosen above.

To do this, type or select a starting ID number in the From box and an ending number in the To box. Ensure that you enter the ID numbers in numerical or alphabetical order. The billing information for those outside the range will not be displayed or printed on the report. The excluded staff members, clients, groups or partners are hidden and may be returned to the report at any time by clearing the box(es) or entering different ID numbers.

From/To Staff

You can restrict the number of items to be included in the report by specifying a range of staff numbers. This option is applicable only to the Staff format.

To do this, type or select a starting staff number in the From box and an ending number in the Tobox. Ensure that you enter the staff numbers in numerical or alphabetical order. The staff information for those outside the range will not be displayed or printed on the report. The excluded staff members are hidden and may be returned to the report at any time by clearing the box(es) or entering different ID numbers.

Grouping

(Project Format only)

Reports can be grouped by client, group, manager or partner. Select a grouping to use.

Groups only

(CaseView statement only)

Available for group statements only.

When this option is checked, the From/To Client field lists group clients only and filters the report on group clients. When this option is deselected, the From/To Client field lists all clients and the reports filter on group and non-group clients.

Hours per Day Threshold

Select the type of threshold used to determine when an employee's time entries should appear on a Time exception report.

No hours recorded:If selected, the exception report shows the names of staff members on days they recorded no time entries.

Select hours: If selected, the exception report shows the names of staff members on days they recorded time entries ing less than the threshold defined here. Enter the threshold amount of hours in the field Maximum Hours per day.

Standard hours:If selected, the exception report shows the names of staff members on days they recorded time entries totalling less than the standard daily hours as defined in their staff records.

Include clients with activity where totals balance to zero

Select this option to include activity for clients that have balances totaling to zero. Clear this option to exclude zero balances from the document. This is useful to ensure that there are no outstanding cash receipts or invoices that net to zero.

Selecting Debit balance or Credit balance as a Balance Filter above, grays out this check box.

Include transactions that balance to zero (CaseView statement only) Select this option to display and print on the statement transactions that balance to zero.
Include Weekend Days (Time exception format only) Check this box to include weekend dates in the Time report. By default weekend dates are not included.
Include Zero Balances

Select this option to display and print entries that have zero balances (no time or expense entries for the period). To skip information with zero balances, leave the box unchecked.

This option is available only for the monitor and unbilled formats and the detail and summary formats when ordered by staff.

Non-group clients only (CaseView statement only) Select this option to display and print on the statement transactions that balance to zero.
Project/Client For the project, cost and detail formats, you can restrict the number of items to be included in the report by specifying a filter on the order chosen above. Select a specific project for the report when the order is set to In charge or team leader or a specific client when the order is set to project.
Second (and Third Order) Select the dates between which the project Start date should fall.
Sort direction Select whether to sort in ascending order.
Staff Partner or Manager (Firm, Productivity, or Staff-YTD Formats) If the Time file is set up to use staff grouping by senior staff member (partner or manager), use this pop-up to select one partner or member's staff group to display on the report. Note that inactive staff are not included in the selection list.
Start Select the dates between which the project Start date should fall.
To Date If blank, the date range this date is set by default the current active period. This can be changed as necessary. If a date is entered, only outstanding work in process and accounts receivable information up to the "To Date" appears on the document.

User Profile (Contacts Monitor only)

(Project Format only)

Select whether this document is to be included in the User Profile filter or not. Filtering set in the User Profile overrides any filtering set in the Document Properties dialog. As long as the User Profile filter is in effect, the From/To fields in the properties dialog are grayed out.
With memos (summary format)

If checked, one of the following occurs (this depends which document you are creating or modifying):

  • the detailed journal is presented with any memos attached to it; or
  • the summary is presented with any memos entered in the Clients dialog on the Memos tab; or
  • the payment history report is presented with any memos attached to it; or
  • the project lists report is presented with any memos attached to it.
