Document Formats

Each Document Type can have a variety of formats. The Formats give the document a different look and may increase or restrict the amount of detail displayed on the document.

The following table outlines the formats available to all the automatic documents. Make selections to control the type and amount of data displayed on the document. This portion of the properties dialog changes depending on the Document Type and Format selected.

Aged

Provides a listing of cash receipts processed by age since the Invoice date. The report displays the client name, date, amount, receipt number, and deposit number. The document displays only cash receipts posted to the Accounts Receivable account number, and does not include sundry payments.

Receipts paid to more than one invoice are denoted by "Multiple".

Client
  • Billings from WIP - Previews or prints Billings from WIP CaseView invoices in client number order.
  • Cash Receipt Journals - Provides a listing of cash receipts processed for each client. The document displays only cash receipts posted to the Accounts Receivable account number, and does not include sundry payments.
  • Credit Notes - Previews or prints CaseView document-generated credit note in client number order.
  • Credit Note Journals - Provides a listing of each credit note processed in the period for clients.

Clients Provides a detailed listing of all information about the contact's clients. This report is available in client name, number or short name order. Contacts

  • Billed Analysis -Provides a detailed listing of the total billed time and expenses for each client for the period specified.
  • Invoice Analysis - Provides a detailed listing of all miscellaneous and billing from WIP invoices for each client for the period specified. The invoice number, date, amount, and write-up/down amount are included.
  • WIP Reports - Provides a detailed listing of all work in process entered as at the end of the period.

Client summary
  • Billed Analysis - Provides a summary listing of the total billed time and expenses and total billings (final and interim) for each client for the period specified. Cost and profit per client is calculated in this report. 
  • Credit Note Journal - Provides a summary listing of the total credit notes processed during the period for each client.
  • Invoice Analysis - Provides a summary listing of the total amount of invoices generated during the period for each client. The total invoice amount and write-up/down amount are included. Invoice details are not included.
  • WIP Analysis - Provides a summary listing of all work in process, the applicable write-up/down amounts, and WIP invoices for the period specified. While viewing a WIP analysis summary document, you can drill-down from it to the detailed WIP analysis for each item.

Cost

Provides a detailed listing of all costs for each project.

This report calculates the cost of the project by taking the time entries and multiplying the staff cost rate and by the quantity and the amount of expenses.

Detail - Client The detailed time/expense journal shows approved and unapproved time/expenses for the period specified. Work codes, clients, rates, and amounts of the time/expense entries are also included on a per client basis. Detail GL Account
  • Credit Note Journals -Provides a detailed listing of general ledger account distribution for each credit note processed for the period.
  • GL Account - The Invoice Journal detail document shows all general ledger accounts to which invoices are posted for the specified period.

Detail - Invoice number The Invoice Journal detail document shows all invoices (including miscellaneous) for the specified period.   Invoice Journal
Detailed statement Statements (Client/Group) - Detailed CaseView statements including entries for payments and credit notes. It allows the user to see the detailed information of receipts or credit notes applied to an invoice or group clients' invoices.. If an invoice was applied in full, the balance is zero. If an invoice was partially paid (by receipt or by application of a credit note), the outstanding balance shows in the balance column. Statements - Client, Statements - Group
Detail with project subtotals Provides a detailed listing of all outstanding balances entered at the end of the period with subtotals by subproject, and then subtotals by project, and totals by client. Trial Balance

Exception Ordered by staff, this report shows the dates that a staff member's time entries fail to amount to a specified minimum, called the threshold. For more information read The Time Exception report. Time Journal

Firm detail

Billing Analysis - Provides a detailed listing of billed time and expenses by work code per staff member. Client numbers are not included on this report.

Note: that only the expense amount is shown; quantity and rates for expense items are not displayed.

Expense/Time Analysis - Details the firm's billable and non-billable expense entries per staff for the period. The details include:

  • The work code, quantity, amount, and billing rate for each work code
  • The percentage of expense spent on each work code with percentage totals for billable and non-billable expense.
  • The effective rate for each staff member.

Firm summary
  • Billing Analysis - Provides a summary analysis of the total billed time and expenses for the firm by work code. The Billing Analysis document also displays the Personal Allocation amount. This amount exists when you create an invoice from WIP, and you charge the write-up/down to one particular employee, instead of prorating it amongst all employees.
  • Expense Analysis - Provides a summary listing of all billable and non-billable expenses for the period. Work code, quantity, amount, billing rate, write-up/down, and effective rate for the work code are also included.
  • Time Analysis - Provides a summary listing of all billable and non-billable time entries and total cost and profit for the period.

Group Provides detailed information by client group and showing all clients in the group. Information includes subtotals for credit notes, invoices and cash receipts processed for the period, applied and outstanding amounts. Payment History

  • Receipts must be applied before the amounts will show on the report.

  • The tax calculation is based on the client master tax rates.

Provides a listing of cash receipts showing receipt and deposit numbers and sales taxes applied. The tax calculation is based upon the tax rates in the Client Master.
