Linking Balances from a Consolidated File

You can link CaseView documents to the balances in a consolidated Working Papers or Time file as easily as you link a CaseView document to a single client file. In fact, you can link one CaseView document to balances from two or more entities in the consolidation tree, allowing you to create reports that compare the performances of all the subsidiaries in the consolidation.

There are a two ways to link a CaseView document to the balances in a consolidated file.

  • Do not specify an entity in the formula, but set the entity to be used in the formulas in the Document properties dialog for your CaseView document.
  • Specify the Entity you want to use in the formula (where no entity is specified in the document properties).

Setting the entity in the CaseView Document properties

  1. In Working Papers/Time, right-click on the CaseView document on the Document Manager, and select Properties.
  2. From Context, select the desired entity for the document.

    Note: You can save a lot of effort by creating one document for all the entities in the consolidated file by selecting Default Context when you set up the CaseView document in Working Papers or Time. Using Default Context means that when you print the document from the Document Manager, it will draw the data from the entity selected in the Global Context Entity at the time of printing. Then to print the same report for another entity, just change the selection in the Global Context Entity selector.

  3. Click OK.

Entering the formula in the CaseView document.

Enter calculation formulas in CaseView exactly as you would enter them for a single client file and then when you go to print the document, it will draw the values from the entity selected in the Global Context Entity Selector in Working Papers/Time at that time.

For example, enter:

This is identical to the calculation you would use to link the cell to balances in a single client file. So if no entity-specific code is used in the calculation, CaseView links by default to the entity chosen at the time of printing - either the context selected in the dialog, or if this is set to default, to the entity selected by the Local Context Entity Selector.

Selecting the entity in a CaseView calculation

No matter which entity is selected in the CaseView document set up, you can override that selection and link to any entity in the consolidation tree by inserting an entity-specific code in CaseView cell calculations. This entity-specific code is the abbreviation assigned in the Entity Properties dialog.

This calculation was created in a CaseView document assigned to Sub Company 1 using the Local Context Entity Selector. This illustrates that the calculation can link to a balance from any entity in the consolidation tree.
