Annotation Dialog

Use this dialog to enter annotation into the document or to set up the ability to enter annotation into the Form mode.

General (Design Mode only)

Label Calculation

A label allows users to identify and access specific annotation. Enter a label for the annotation, or click images\extdesc_shg.gif to enter a calculation that creates the label. Labels are optional but must be enclosed in quotation marks. For example, "Note 23".

Labels entered here show on the right-click menu in Form Mode or Form Mode with editing enabled.

Notes

Permissions

Please note, selections made in this area will have an impact on the resulting wizard in Form Mode/ Form Mode with Enabled Editing.

  • Note Annotations

    Select to enable users to add Note annotation.

  • Notes Modifiable in Form Mode

    Select to allow notes to be edited or added in the Form Mode.

  • Tickmark Annotations

    Select to enable users to add tickmark annotation.

  • Tickmarks Modifiable in Form Mode

    Select to allow tickmarks to be edited or added in the Form Mode.

  • Reference Annotations

    Select to enable users to add reference annotation.

  • References Modifiable in Form Mode

    Select to allow reference to be edited or added in the Form Mode.

  • Draw Anchor in Form Mode

    Choose whether or not to show a Form Mode anchor () for the annotation. Without an anchor, the annotation will only be visible in Design Mode.

Other Options

  • Retain Notes on Year End Close

    Select this check box to retain this note on a year-end close even if the option to keep CaseView Notes is not selected under the items to "Include in Next Year's File" in the Year End Close dialog in Working Papers/Time.

  • Retain Tickmarks on Year End Close

    Select this check box to retain this tickmark on a year-end close even if the option to keep CaseView Tickmarks is not selected under the items to "Include in Next Year's File" in the Year End Close dialog in Working Papers/Time.

  • Retain References on Year End Close

    Select this check box to retain this reference on a year-end close even if the option to keep CaseView Document References is not selected under the items to "Include in Next Year's File" in the Year End Close dialog in Working Papers/Time.

  • Draw Missing References

    Select an option to specify how you want missing references to be displayed.

    Normally

    The missing reference is drawn like a regular reference and will have (Missing) appended to the tool tip text.

    Hidden

    Missing references in this embedded annotation object will not be displayed or printed.

    Custom Color

    Missing references in this embedded annotation object will be displayed and printed in the color indicated by the Missing Annotation Reference option in the View Preferences dialog and will have (Missing) appended to the tool tip text.

References

Select this tab to enter a new Document or Manual Reference annotation. The columns list for Document References include the document number, description, and the drop down arrow to begin editing the annotation. The Manual Reference pane lists the label and the drop down arrow only.

Click the down-arrow in the upper panel to select an existing document as the Reference, or click the down-arrow in the lower panel to enter a new Manual Reference. You can also open the reference list with the space bar and then use type ahead or the arrow keys to locate an existing document that you are referencing. When you use type ahead, the folder containing the matching document will open on the list so that you can see the document you are selecting.

Notes

Select this tab to enter a new Note annotation. Columns list the note number, contents, and the drop down arrow to begin editing. Click the down-arrow and begin typing the Note content. Click OK when you have finished typing the note to return to the Annotation dialog. Click Cancel after typing if you do not want to keep the note.

Tickmarks

Select this tab to enter a new Tickmark annotation. Columns list the tickmark images, text, descriptions, and the drop down arrow to begin editing. Push the space bar to open the Tickmarks list and use the arrow keys to select the desired Tickmark.

Notes

  • If only one type of annotation is allowed, then when a context menu is used, the annotation command name includes the type of annotation.
  • The Permissions selected for References, Notes and Tickmarks will be ignored in Form Mode (Enable Editing) when you double click on an annotation that is within a section that has the "Modify Paragraph Contents" permission. When this permission is turned on, you are allowing the user to enter any text and change any objects in that paragraph. The General tab is therefore enabled to allow users to make such changes in the annotation object. To remove the "General" tab, you will need to remove the "Modify Paragraph Contents" permission by going to Document | Settings | Document Security in Design Mode.
  • When adding the same type of annotation using the Annotation toolbar, CaseView will check whether there are any valid annotation objects to the right and left of the caret. If no annotation object is found then CaseView will proceed in creating an annotation object.
  • The Annotation Properties dialog can be accessed in Design Mode and in Form Mode (where enabled), by double-clicking the anchor ().
  • For all annotation types, if you press the space bar when the focus is on the annotation list it will open the popup the selection window.
  • For reference annotations if you type in a character other than a space it will open the popup selection window.
  • The Right/Left keyboard buttons can be used to Open/Close folders in the popup selection window.
  • To copy an Annotation, right click on the Annotation and choose Copy. To paste an Annotation right click on the Annotation anchor and click Paste OR click to the left of the anchor and press Ctrl+V.
  • The caret can be set to the right of annotation anchors and when paste (Ctrl+V) is selected, CaseView will paste the annotation into the anchor to the left if there is no anchor to the right.
  • When adding the same type of annotation using the Annotation toolbar, CaseView will check whether there are any valid annotation objects to the right and left of the caret. If no annotation object is found then CaseView will proceed in creating an annotation object.
  • Annotation anchors support multiple types of annotations. Pasting annotations will insert the new annotation and leave whatever is there intact. For example, if a Note annotation was inserted, the user can choose to insert another Note annotation, while retaining the first Note that was inserted.
